Classification: Full-Time. Shift: Monday through Friday, Hourly. Ideal Candidate Qualifications Minimum of 1‑year experience as an administrative assistant in a hospitality‑driven team environment. Knowledge of Delphi/Meeting Broker/OPERA systems is preferred. Sales, marketing and/or event coordinating experience is a plus. Proficient in Windows and Microsoft Suite, including Word, PowerPoint, Excel and Outlook. Excellent telephone etiquette and ability to communicate with clients and all levels of management. Ability to work effectively under pressure and handle several projects/deadlines. Strong organizational and self‑guided multi‑tasking skills. Eager to learn various disciplines that make up hotel marketing. Basic knowledge of traditional social media and reputation management channels. Ability to learn how to navigate CMS platforms. What will I be doing? This administrative position is clerical in nature and support oriented. It’s the first step towards a sales or marketing management career. The Sales & Marketing Coordinator supports the Director of Sales and the Sales and Marketing Management Team in a variety of ways that are critically important to successfully securing business and meeting the needs of the hotel’s clients. Group Sales Role & Responsibilities Assist with all office sales efforts, including responding to general inquiries and client requests. Liaise with guests, clients and staff on a regular basis. Assist clients in the absence of Sales Managers. Coordinate and assist with customer events, sales appointments, site visit preparation and act as a stand‑in for Sales Managers. Process and maintain accounting responsibilities for Managers in accordance with established guidelines, including completion of expense reports. Provide main telephone coverage for the sales and catering office. Perform duties in a timely manner: general correspondence within 24 hours, projects within specified deadlines. Assist Sales Managers with group sales proposals, merging contracts within Delphi FDC, and other necessary data entry within Delphi, Microsoft Word, Excel, Outlook or related programs.
