Position Summary
The role of the Service Coordinator is to coordinate the administrative functions of the service department on a day-to-day basis. This encompasses all aspects, including, but not limited to billing, customer service and administrative duties.
Essential Job Functions
- Assist in answering calls in to main branch phone lines
- Maintain excellent customer service at all times
- Collections on Prepay customer report and take proper action on items
- Audit Closed service call report and take proper action on items
- Receive and stage parts for PM and Repair calls
- Work closely with Service Dispatcher to insure jobs are properly prioritized
- Working in ERP system, including uploading of documents, inputting information to service calls, opening service calls
- Filing and/or scanning as required
- PMA agreement investigation and resolution management
- Assist Branch Operations Manager as required
- Assist AR with
- Assist with PO collection
- Generac startup registration where applicable
- Ship oil samples
- Follow up on all open QS
- Provide as a backup to scheduling/dispatch coordinator
Qualifications
Education Requirements: High school diploma or equivalent College-level Business and/or IT courses strongly preferred Experience Requirements: Two or more years of office manager or customer service-related experience. Two or more years of experience in a sales administration role. Strong experience with Microsoft Office products. Experience working with and communicating regularly with all levels of employees within an organization Required Skills and Attributes: Excellent organization and communication skills. Strong attention to detail and computer skills. Exceptional written and verbal communication skills. Solid business acumen, management and problem-solving skills. Effective time management, organization, and leadership skills. Initiative The ability to get started and work independently regularly, and come up with ideas & carry them out. Leadership The ability to set an excellent work ethic example, as well as monitor and mentor others in their career development. Strategic Thinking -.Thinking not only in the short-term, but continually questioning the long-term impact and benefits of each business decision. Analytical Processing The knowledge of, and regular application of analysis (of numbers, equations, relationships and/or terminology) to complete tasks. Problem Sensitivity - The ability to tell when something is wrong or is likely to go wrong. It does not involve solving the problem, only recognizing there is a problem.
Physical Requirements: This position will be working primarily indoors in a climate-controlled, smoke-free environment, but also requires the employee to be moving through other areas on a regular basis. From this movement, the employee will encounter varying temperatures from these areas. Normal auto and air travel hazards will apply. The noise level in the work environment is usually moderate but can be higher in other areas. While performing the duties of this job, the employee is regularly required to sit for prolonged periods of time. The employee must have a full range of body movements including use of hands to finger, handle, or feel objects, computer equipment and peripherals; and bending, reaching, and crouching. Must have command of sight, hearing, touch and smell. Specific vision abilities required include close vision, depth perception, and the ability to adjust focus. These vision requirements in each area must be sufficient to shift in focus from computer screens to closed forms.
