Flexible work arrangements are available in the College of Pharmacy. The selected candidate is expected to work on campus at the University of Texas at Austin at least one to two days per week. This is a full-time position supported by multiple funding sources. Employment is offered for one year, with the possibility of renewal contingent on continued funding and satisfactory performance. Purpose The successful candidate will support the Pharmacy Addictions Research and Medicine (PhARM) Program by leading and coordinating pre-award grant development activities. This position will build detailed budgets, draft budget justifications, coordinate subawards, obtain vendor quotes, assemble proposal materials, and manage routing and compliance documentation for philanthropic, state, opioid abatement, and federal grant submissions. The Grants & Research Development Manager will work directly with the Principal Investigator to translate high-level directives into complete, compliant, and competitive proposals and will assist with post-award program monitoring and administration. The position will also support contract routing, data use agreements (DUAs), and related pre- and post-award administrative processes. This role is central to scaling the PhARM research enterprise. Responsibilities Develop detailed proposal budgets based on investigator directives (e.g., effort allocations, subaward structure, consultant support, equipment, and vendor costs). Draft budget justifications consistent with sponsor guidelines. Obtain vendor quotes and supporting documentation for proposal submissions. Coordinate subawards, including scope of work development, budget review, and collection of required documents. Assemble and route complete proposal packages in coordination with College and University research administration. Support NIH submissions, including preparation of SF424 materials, modular and detailed budgets, and compliance documentation. Track proposal timelines and ensure timely completion of all required submission components. Draft or assist with scopes of work for grant and contract submissions. Support data use agreement (DUA) routing and contract pre-award documentation. Monitor subcontractor performance by reviewing and summarizing reports and submissions from subcontracts for compliance with contractual or sponsor guidelines. Maintain organized records of proposal materials, templates, and sponsor requirements. Collaborate closely with other administrative staff and investigators to ensure seamless pre-award and post-award transitions. Assist with administrative coordination related to grant development, including scheduling meetings with collaborators and collecting required materials. Required Qualifications Bachelor’s degree and at least 2 years of experience in research administration, grant development, or pre-award support. Demonstrated experience developing and revising proposal budgets and budget justifications. Experience coordinating multi-component grant submissions. Strong organizational skills and exceptional attention to detail. Ability to manage multiple deadlines simultaneously and work independently. Strong written communication skills. Preferred Qualifications Undergraduate coursework or degree in accounting, business management, or related field. Demonstrated experience supporting NIH submissions (e.g., SF424 packages, modular and detailed budgets, eRA Commons familiarity). Experience working with state and foundation funding mechanisms. Experience coordinating subawards and consultant agreements. Familiarity with contract routing and data use agreements in an academic setting. Experience working directly with principal investigators in a fast-paced research environment. Familiarity with program evaluation, subcontractor monitoring, and preparation of reports for funders. Proficiency with institutional research administration systems (e.g., Cayuse, Workday, or similar platforms). Retirement Plan Eligibility The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length. This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.
