Accounts Payable Data Specialist

The Accounts Payable Data Specialist plays a key role in supporting vendor management, tax and IRS/1099 administration, Master Data Management (MDM), and business process automation initiatives across the organization. This position is responsible for ensuring vendor compliance, managing MDM-related activities, and providing exceptional customer support through regular interaction with internal and external stakeholders. Data Specialists contribute to innovative, customer-focused solutions that enhance operational efficiency and drive business productivity.

Responsibilities include, but are not limited to:

• Collaborate with business partners and cross-functional teams to deliver efficient and effective customer solutions and services.
• Contribute ideas and recommendations as an active member of a collaborative team environment.
• Assist in the creation, maintenance, and administration of the corporate repository for vendor tax and IRS documentation.
• Perform daily, monthly, and quarterly vendor compliance activities to ensure data accuracy and regulatory adherence.
• Maintain and update vendor information and records to ensure accuracy and completeness.
• Review vendor documentation and follow established processes and procedures to support vendor setup and maintenance.
• Participate in departmental and enterprise-wide projects as assigned.
• Maintain positive and professional relationships with customers and stakeholders.
• Identify opportunities to improve processes and operational efficiency.
• Perform other duties and responsibilities as assigned.

Qualifications and Skills:

• Working knowledge of Microsoft Office applications, particularly Excel and Outlook.
• Strong organizational and administrative skills with excellent attention to detail.
• Strong verbal, written, interpersonal, and customer service communication skills.
• Self-motivated, proactive, detail-oriented, and capable of working independently as well as collaboratively within a team environment.
• Excellent time management skills with the ability to prioritize multiple tasks and meet critical deadlines.
• Strong analytical and problem-solving abilities with a focus on accuracy, process improvement, and operational efficiency.
• Ability to adapt quickly to changing business needs and processes.

Education and Experience:

• 13 years of relevant experience in vendor administration, compliance, operations, data entry, or a related field.
• Demonstrated experience working in customer-facing or stakeholder-focused roles, with the ability to effectively communicate business objectives, context, and solutions to diverse audiences.
• Strong interpersonal skills with the ability to build relationships and collaborate across departments and organizational levels.
• Proven ability to communicate information clearly, concisely, and professionally.
• Experience balancing multiple priorities in a fast-paced business environment while maintaining a high level of accuracy and professionalism.
