Intercompany Operations Specialist

Position Summary

We are seeking a detail-oriented Intercompany Operations Specialist to support global supply chain and logistics operations. This role is responsible for coordinating intercompany orders and shipments between domestic and international locations, ensuring timely order processing, inventory coordination, export documentation compliance, and proactive communication with internal and external stakeholders.

Key Responsibilities

• Process intercompany orders through electronic and manual order entry systems.
• Manage purchase order confirmations and order maintenance activities.
• Release order holds and ensure compliance with established business rules.
• Coordinate inventory availability with supply planning and related teams.
• Serve as a primary point of contact for intercompany shipment activities.
• Provide proactive order status updates and customer communications.
• Arrange transportation solutions that balance service requirements and cost efficiency.
• Prepare, review, and distribute export documentation, including invoices, airway bills, certificates, and related shipping documents.
• Ensure compliance with applicable export regulations and international shipping requirements.
• Support the processing of returns, credits, and rebills.
• Assist with reporting, data analysis, and operational performance tracking.
• Provide backup support for team members and assist with special projects as needed.
• Maintain accurate records and documentation for all transactions.
• Support continuous improvement initiatives within supply chain and logistics operations.

Qualifications

Required

• High school diploma or equivalent.
• Strong verbal and written communication skills.
• Excellent organizational and problem-solving abilities.
• Ability to work independently with limited supervision.
• Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
• Ability to manage multiple priorities in a fast-paced environment.

Preferred

• 2+ years of experience in supply chain, logistics, customer service, order management, or related operations.
• Experience working with ERP systems such as SAP.
• Knowledge of international shipping, export documentation, or global trade compliance.
• Experience supporting cross-functional teams in a manufacturing, distribution, or logistics environment.
