About the Role: We are looking for a highly responsible, tech-savvy, and proactive Office Assistant to help streamline daily business operations and everyday tasks. This role is a unique hybrid of general office administration, personal assistance, and light creative support.

The ideal candidate will be responsible for providing administrative support to ensure the efficient operation of the office. From scheduling client meetings to communicating between departments, you will be responsible for completing multi-level tasks in a professional and timely manner.

We value efficiency and innovation, so you should be comfortable utilizing AI tools to speed up workflows, generate projects, and handle quick edits. The ideal candidate is a reliable go-getter who thrives in a fast-paced environment and can be trusted with anything and everything to make daily operations smoother.

Responsibilities:

  • Answer phones and direct calls with a positive attitude and an energetic work ethic
  • Provide office guests with a hospitable experience
  • Assist in handling office requests for dial-ins, conference rooms, travel requests, etc.
  • Order office supplies and provide an inventory control system
  • Creative and AI-Driven Projects: Use AI tools alongside Canva or Adobe Photoshop to handle quick image edits, generate creative projects, and update visual assets efficiently
  • Everyday Logistics and Errands: Handle everyday duties such as ordering team lunches, managing office tasks, and driving to pick up errands or packages as needed

Qualifications and Requirements:

  • Proficiency in the Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
  • Excellent written and verbal communication skills
  • Ability to multitask, organize, and prioritize work
  • Able to run errands and pick up (must have a valid driver’s license and reliable transportation)
  • Tech-Savvy Mindset: Familiarity with or enthusiasm for using AI tools to assist with content generation, research, or quick design edits
  • Technical Skills: Introductory or intermediate experience with Canva or Photoshop for minor editing tasks
  • Reliability and Trust: Absolute discretion, strong responsibility, and trustworthiness are non-negotiable. You will be trusted with critical day-to-day tasks
  • Experience: Previous administrative or personal assistant experience is a plus. A formal degree is not required, as we value hands-on experience, capability, and adaptability.
