About the Indiana Department of Homeland Security (IDHS):

The Indiana Department of Homeland Security (IDHS) leads Indiana's emergency planning and operations, first responder training, and fire and building safety. The Indiana State Fire Marshal leads the Division of Fire and Building Safety (within IDHS), which oversees the enforcement of building codes and includes a fire investigations unit. The agency certifies and trains thousands of first responders and also hosts state-level exercises each year. IDHS also supports the state Emergency Operations Center (EOC), which leads response and coordination efforts for large-magnitude incidents.

Role Overview:

The District Coordinator reports directly to the Assistant Section Chief of District Coordinators and is responsible for coordinating and administering Academy-sponsored certification courses from approval through course completion. This position manages the day-to-day administrative functions of assigned courses by coordinating with instructors, evaluators, certification staff, students, participating agencies, and Academy leadership to ensure courses are delivered in accordance with Academy policies, timelines, and certification standards.

The District Coordinator collaborates with Academy leadership in the development of the annual course offerings and supports implementation of the Academy's annual training plan through effective scheduling, communication, record management, and course administration. This position does not oversee program budgets or serve as the primary coordinator for logistics, which are the responsibility of the Program Manager.

The candidate must live in IDHS district 10 unless approved by the Indiana Fire and Public Safety Director

Counties include: Knox, Daviess, Martin, Gibson, Pike, Spencer, Dubois, Crawford, Posey, Vanderburgh, Warrick, or Perry.

Salary Statement:

This position traditionally starts at an hourly rate of $30.00 but may be commensurate with education and work experience.

A Day in the Life:

The essential functions of this role are as follows:

Course Administration

• Coordinate assigned certification courses from approval through completion.

• Create and maintain courses within ACADIS.

• Ensure course records, documentation, and workflows remain accurate and current.

• Monitor course progress and ensure all administrative deadlines are met.

• Maintain course files in accordance with Academy policies.

Instructor Coordination

• Coordinate with Lead Instructors, Lead Evaluators, and Proctors.

• Verify required instructor certifications and qualifications.

• Maintain current course syllabi and instructional documentation.

• Serve as the primary administrative contact for instructional staff.

Student Services

• Monitor course enrollment and registration.

• Communicate course information, schedules, and requirements to students.

• Verify student participation prior to the start of courses.

• Respond to student and instructor inquiries.

Course Scheduling

• Coordinate approved course dates, training locations, and classroom assignments.

• Maintain the Academy training calendar for assigned courses.

• Communicate scheduling changes to instructors, students, and Academy staff.

Course Compliance

• Ensure Academy policies and certification requirements are followed.

• Monitor ACADIS workflows to ensure required documentation is completed.

• Coordinate with Certification Staff to facilitate timely course completion and closeout.

Course Completion

• Verify completion of required evaluations and documentation.

• Coordinate certificate processing and course closeout.

• Assist Certification Staff with final reconciliation

This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.

What You'll Need for Success:

Individuals in this role should minimally be able to articulate or demonstrate the following:

• Basic knowledge of planning techniques and procedures.

• Basic knowledge of urban planning, transportation planning and state and local economic and industrial development.

• Basic knowledge of emergency disaster, emergency cause and effect and procedures and methodology to minimize adverse effects.

• Ability to use the techniques of fact-finding and analysis to interpret statistical information and trends concerning the physical, social, and economic aspects of population centers.

• Ability to explain the programs and secure cooperation between local, state, and federal government and private executives.

• Ability to communicate effectively, both orally and in writing and through structured media.

• Ability to develop feasible techniques and methods to achieve plan solutions.

• Ability to comprehend and interpret federal and state laws, guidelines, and regulations relative to disaster planning and operations.

Benefits of Employment with the State of Indiana:

This seasonal position does not offer benefits and is limited to 180 working days in an eleven (11) month continuous period.
