Full-Time | In-Person | Shreveport, Louisiana

Position Summary

Miramon Law, a growing Trusts and Estates law firm in Shreveport, Louisiana, is seeking an experienced Firm Administrator to oversee the Firm’s day-to-day business operations, financial administration, human resources, and administrative functions.

Serving as a key business partner to the Firm’s two Equity Partners, the Firm Administrator will translate leadership’s goals into effective systems, processes, and results while ensuring the Firm operates efficiently, professionally, and profitably.

The ideal candidate has experience managing operations within a law firm or professional services environment and possesses a strong accounting and financial background. This individual should be comfortable managing the Firm’s day-to-day bookkeeping, financial reporting, billing and collections, budgeting, cash-flow monitoring, and financial records, as well as working directly with the Firm’s outside CPA.

This is a hands-on leadership position for someone who can move comfortably between strategic planning, financial management, employee leadership, and day-to-day operational problem-solving.

Key Responsibilities

Firm Operations & Administration

  • Oversee the Firm’s daily business operations, administrative functions, workflows, and office systems.
  • Develop, document, and improve policies, procedures, and processes to increase efficiency and accountability.
  • Manage office facilities, technology, supplies, vendors, and outside service providers.
  • Identify operational issues and implement practical, sustainable solutions.
  • Maintain organized and secure Firm records and documentation.

Financial Administration & Bookkeeping

  • Manage the Firm’s day-to-day bookkeeping and financial administration.
  • Maintain accurate financial records, general ledger activity, accounts payable, accounts receivable, and reconciliations.
  • Process and review invoices, payments, reimbursements, and other financial transactions.
  • Prepare monthly financial reports and provide financial information to Firm leadership.
  • Monitor revenue, expenses, profitability, cash flow, and accounts receivable.
  • Assist with budgeting, forecasting, and budget-to-actual analysis.
  • Monitor billing and collections and coordinate follow-up on outstanding balances.
  • Maintain accurate client financial records and oversee trust accounting processes.
  • Perform or oversee monthly trust account reconciliations and promptly address discrepancies.
  • Maintain and optimize the Firm’s financial systems, including QuickBooks Online and Clio.
  • Work closely with the Firm’s outside CPA on tax preparation, year-end accounting, financial reporting, and other accounting matters.
  • Provide the CPA with accurate financial records and supporting documentation.
  • Identify opportunities to improve financial processes, controls, reporting, and efficiency.

Human Resources & Employee Management

  • Oversee recruiting, hiring, onboarding, offboarding, personnel records, and HR administration.
  • Coordinate payroll and benefits administration.
  • Support performance evaluations, employee relations, training, and professional development.
  • Establish clear expectations and accountability for Firm employees.
  • Partner with Firm leadership on staffing, retention, and workforce planning.

Strategic Planning & Project Management

  • Partner with the Equity Partners to implement strategic goals and initiatives.
  • Develop project plans, timelines, deliverables, and accountability measures.
  • Track operational and financial KPIs and provide regular reporting to Firm leadership.
  • Lead process-improvement initiatives and implement systems that support Firm growth and scalability.

Technology, Compliance & Risk Management

  • Oversee Firm technology systems and coordinate with IT and cybersecurity providers.
  • Support data security, backups, disaster recovery, and appropriate system access controls.
  • Maintain Firm insurance, licenses, registrations, and other required business records.
  • Establish and monitor appropriate internal controls over financial, employee, client, and Firm information.
  • Maintain strict confidentiality of Firm, client, employee, financial, and trust information.

Leadership Expectations

The Firm Administrator will serve as a trusted business partner to the Equity Partners and a senior leader within the Firm.

Required Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or a related field, or equivalent professional experience.
  • Minimum of five years of progressive experience in law firm administration, accounting, finance, operations, or professional services management.
  • Strong accounting and bookkeeping experience, including general ledger, accounts payable, accounts receivable, reconciliations, and financial reporting.
  • Experience preparing or reviewing financial statements and management reports.
  • Experience with budgeting, cash-flow monitoring, billing, and collections.
  • Experience working with an outside CPA or accounting professional.
  • Experience with human resources, recruiting, and employee management.
  • Strong organizational, analytical, communication, and problem-solving skills.
  • Proficiency with Microsoft Office, particularly Excel, and accounting software.
  • Ability to work independently, manage competing priorities, and maintain a high level of accuracy and confidentiality.

Preferred Qualifications

  • Prior experience managing operations within a law firm or professional services organization.
  • Experience with a Trusts and Estates, Estate Planning, or Probate practice.
  • Experience with Clio and QuickBooks Online.
  • Experience with legal billing, client ledgers, trust accounting, and three-way trust reconciliations.
  • Experience supervising administrative or accounting personnel.
  • Experience preparing budgets, financial forecasts, and financial analyses.
  • CPA, CMA, CLM, or other relevant professional credential is a plus.

Work Schedule & Location

This is a full-time, in-person position based in the Firm’s Shreveport, Louisiana office.

The Firm Administrator will work closely with the Equity Partners, attorneys, and administrative staff and is expected to maintain a professional, collaborative, and responsive presence in the office.

Compensation

85,000–110,000 per year, commensurate with experience, qualifications, and demonstrated expertise.
