Job Summary: We are currently seeking a Client Service Associat e to support our financial advisors and the broader wealth management team in our Downers Grove, Illinois location. This role is a key position that will work closely with advisors to enhance client service, ensure smooth day-to-day operations, and contribute to the overall success of the advisory team. We are seeking a highly organized, resourceful individual with at least 5 years of experience in the financial services sector. This position will be client-facing, requiring strong interpersonal and communication skills, along with the ability to perform operational tasks with efficiency and precision. The ideal candidate will have experience as a Client Service Associate, operational expertise, and a strong ability to think critically and solve problems independently, while building trust and relationships with clients. Experience with Pershing Financial platforms is highly preferred. Key Responsibilities: Client Suppor t: Serve as a primary point of contact for clients, providing exceptional service and addressing inquiries regarding accounts, services, and general financial matter Administrative Suppor t: Provide high-level administrative support to the Director, Client Services and financial advisors, including investment reports, financial plans, and statement Operational Task s: Assist with account maintenance, transfers, and new account setups, ensuring compliance with regulatory requirements and internal procedure Client Onboardin g: Assist with the client onboarding process, ensuring all required documentation is completed accurately and timely Document Preparatio n: Prepare client reports, presentations, and other financial documents for client meetings and communications as needed Follow-Up : Assist with gathering outstanding documentation, approvals, and signature Team Suppor t: Provide backup support for other assistants and financial advisors when needed, ensuring the smooth operation of the office Problem Solving & Critical Thinkin g: Use critical thinking and resourcefulness to troubleshoot client issues, operational challenges, and ad-hoc requests, providing timely solutions System Managemen t: Manage and maintain accurate client information in firm databases and systems (preferably with Pershing or other financial platforms) Client Relationship Managemen t: Maintain a professional, positive, and proactive relationship with clients, ensuring their needs are met and expectations are exceeded Qualifications: Minimum of 5 years of experience in the financial services sector, with a background in client-facing roles such as Client Service Associate or similar Strong operational and administrative skills with experience in managing financial accounts, transactions, and office workflows .Experience with Pershing or similar financial platforms preferred (custodians and broker-dealers) Exceptional organizational skills, with a keen eye for detail and the ability to manage multiple tasks in a fast-paced environment Strong problem-solving abilities, critical thinking, and resourcefulness Excellent interpersonal and communication skills, with the ability to interact professionally with clients, colleagues, and senior management Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Knowledge of financial products, services, and industry regulations High level of discretion and confidentiality in handling sensitive client information Operational Efficiency Strong Organizational and Time Management Skills Critical Thinking and Problem Solving Attention to Detail Strong Communication and Relationship-Building Skills Proficiency with Financial Platforms (Pershing prefered) Compensation: Competitive salary based on experience, along with a benefits package that includes health insurance, retirement plans, and other perks. #J-18808-Ljbffr VestGen Wealth Partners
