General Expectations: This is a part-time position, designated at up to 20 hours per week with flexible scheduling. The role is primarily remote, with occasional in-person meetings or events as needed. Work hours will be coordinated with the Operations team and direct supervisor to support organizational needs. Any hours beyond 20 per week must be pre-approved by the Executive Director and will be compensated in accordance with applicable wage and hour laws. We recognize that employees may hold additional professional commitments; any potential conflicts of interest should be communicated to the supervisor as early as possible.

Compensation: $24.00/hr

Benefits: This is a part-time position during Outfest's reconstruction phase. As such, no traditional benefits (such as health insurance or paid time off) are currently offered.

Roles and Responsibilities

Position Summary: The Volunteer Coordinator is a seasonal member, responsible for managing all volunteer engagement leading up to and during Outfest NEXT (July 23-26). This role oversees scheduling, communications, orientations, and on-site coordination for approximately 100 volunteers. The Volunteer Coordinator works closely with the Box Office, Production, Marketing, and other departments to ensure smooth festival operations. The position is remote-hybrid, with in-person staff meetings and full on-site presence required during the event dates.

Volunteer Program Management

• Oversee the festival volunteer program of ~100 individuals.
• Re-engage returning volunteers and recruit new volunteers from the general public.
• Manage and maintain the Shiftboard volunteer database leading up to and throughout the event.
• Coordinate the volunteer sign-up process and ensure adequate staffing for all event shifts.
• Fulfill departmental requests for volunteer support across programs and events.

Training & Orientation

• Prepare and lead 2 volunteer orientations, providing necessary training and event information.
• Provide on-site guidance and support to volunteers during the event dates.
• Serve as the main point of contact for volunteer check-in and management, including staffing the festival information booth.

Administration & Communication

• Support departmental volunteer needs for screenings, receptions, and special events.
• Maintain accurate volunteer schedules and ensure timely communication with all volunteers.
• Create and distribute volunteer updates, including schedules, policies, and event information.
• Track attendance and maintain program records for post-festival wrap reporting.

Qualifications

• 2+ years of experience supervising volunteers, staff, or teams.
• Experience managing schedules and volunteer databases (Shiftboard or similar preferred).
• Strong interpersonal and communication skills; able to lead orientations and engage diverse groups.
• Proficiency with MS Office and Google Workspace (Docs, Sheets, Drive).
• Highly organized, detail-oriented, and accurate in record-keeping.
• Ability to work independently and collaboratively across departments.
