Summary Provides proactive overall administration and technical direction to single or multiple projects. Maintains liaison with prime client contacts. Establishes project objectives and policies; enforces company and project policies. Monitors construction and financial activities to ensure that the project is constructed in accordance with design, budget, and schedule through subordinate managers and supervisors. Ensures that Princeton’s corporate values are known and are in practice. Location Phoenix, AZ Salary Type Annual Required Tasks Responsible for ensuring that the project is completed on‑time, within budget, and constructed with superior quality and safety. Attends and represents the company in applicable meetings, such as the job “kick off” meeting, weekly project meeting, monthly project manager‑superintendent meeting, owner‑architect‑contractor (OAC) meeting, monthly job review meeting, and management report meeting (upon request). Reviews exposure log with project team. Reviews and ensures RFI log is current. Follows up to ensure record drawings and as‑builts are updated and maintained. Reviews established budget estimate and bid, and assists the estimator and job cost accountant with setting up the proper codes and organization of the job cost report. Accounts for all possible subcontractor cost impacts to the budget by reviewing thoroughly the scopes of work and incorporating all items into subcontracts. Reviews the job status reports, on a monthly basis, with the project manager and/or principal in charge. Identifies schedule risks and plans of action. Assists the job cost accountant with the preparation and review of subcontract supplements and monthly pay applications to ensure that subcontractors are billing the proper percent complete on work items and that they are not over billing. Reviews this information with superintendents. Manages and tracks allowances accurately for the owner. Schedules and prepares for monthly job‑cost review meetings. Modifies subcontract agreement and/or purchase order template to the specific project, inserts detailed scopes (with estimator’s and superintendent’s input), and ensures subcontracts and/or purchase order are issued in a timely manner to allow for maximum quality, schedule and cost effectiveness. Assists in the coordination of the work being performed by the trade contractors. Updates projected project fees on the income and cash flow reports and provides reports to the project accountant. Processes the change orders effectively and efficiently by tracking and ensuring all costs are included and accurate and that the owner and architect are aware of potential cost impacts. Follows the job closeout process from day one of project. This includes, but is not limited by the following: ensure financial obligations to subcontractors are settled within 30 days of substantial, and that the final payment is received within 60 days. Follows job start‑up procedures, including completion of the new project checklist. Prepares the checklist for the kick‑off meeting and follows up on assignments and responsibilities with the project team. Understands overall progress, completion, critical milestones, etc. Participates in regular schedule updates and ensures updates take place as the project requires. Ensures a storm water protection plan is in place at the onset of every project, that the notice of intent (NOI) has been filed, and that the plan is maintained and updated on a weekly basis. Ensures the NOI is completed as part of the close‑out process. Ensures project safety policies, procedures, and standards are being enforced by the project team and that weekly safety meetings are being held. Ensures that progress payments are verified against compliance with Princeton safety procedures. Becomes familiar with and utilizes the designated project control/management software Pro‑Log Manager or Viewpoint. Seeks to learn changes in the industry. Uses appropriate technical information in performing job functions. Mentors, trains, and understands the responsibilities of the project team to ensure the team understands its responsibilities. Works with and follows up with the project team to establish goals and develop accountability. Reviews project engineer’s work (e.g., submittals, RFI’s, etc.) for opportunities to improve and verify compliance with project and Princeton requirements. Schedules, prepares, and conducts performance evaluations and reports on evaluations of staff members. Conducts regular staff meetings for coordination and development of staff and resolution of critical issues. In addition, reviews RFI’s, ASI’s, CCD’s, etc., with the project engineer and the superintendent to ensure that we are receiving answers in a timely manner from the owner and architect. Builds morale of all team members through positive reinforcement, feedback, etc. Seeks input from staff on how to improve process, project, company, etc. Seeks to learn changes in the industry. Reviews and works through negotiations of the prime contract with the owner. Ensures and/or creates the pre‑punch list and final punch lists, and ensures they are distributed and maintained on a regular basis and completed in a timely fashion. Coordinates and acquires all insurance, bonds, etc., that are required by the owner. Assists owner and architect to obtain building permit, as required; and obtains any other required permits. Assists the project team to have good neighbor relations around jobsites. Formally documents (via email, letter, etc.) all relevant informal communication occurring on site with subcontractors. Assists the project estimator in the preparation of Instruction to Bidders during the bidding process. Regular, timely, and predictable attendance is required for this position. Performs other duties and responsibilities as assigned. Additional Tasks Prepares, maintains, and updates exposure log with team on a monthly basis. Prepares income and cash flow summary, on a monthly basis, in conjunction with job cost accountant. Visits each project site prior to the commencement of construction, and video records all areas that might by impacted by the construction. Compiles quotations and prepares change order request. Maintains log of PR’s, COR’s, and CO’s, and exposures. Provides quantity take-offs for self‑performed work activities using On‑Screen Take‑of software or similar (strongly recommended). Coordinates with the project team to ensure the construction drawings are updated with approved changes. Updates construction drawings with approved changes in conjunction with project engineer. Processes requests for information (RFI) with the superintendent’s input by forwarding the information to the architect; then distributes response to appropriate subcontractors and/or suppliers, and updates all necessary drawings and documents. Creates submittal log and schedule; ensures that submittals are submitted on time and are correct; reviews and logs submittals; transmits submittals to proper team members; and ensures that submittals are properly filed. Prints all applicable attachments and mails package to subcontractors, unless subcontracts are written by the pre‑construction or estimating team. Coordinates with the project team to create and maintain the project directory. Prepares the Crisis Management Plan and updates as needed. Inspects supplier warehouses when payment for stored materials is being requested. Participates as a design‑build manager when required. Ensures all warranty issues are identified, documented, and resolved in a timely manner. Develops and maintains with the superintendent and corporate scheduler a detailed construction CPM schedule. Coordinates with the project team to develop the meeting agenda, maintain meeting minutes, and distribute the meeting notes, with all activities being reviewed by the superintendent. Ensures—along with the superintendent—that the project site and construction activities are being constantly documented in writing and in photos, and that they are properly stored electronically. Markets the company to the owner and design team, and engages the business development department in pursuing future opportunities. Completes project close‑out including receiving, reviewing, updating, and submitting to owner/architect O&M’s, warranties, as‑builts. Certifications / License Requirements OSHA 10/30 training preferred. LEED AP Certification preferred. Education / Experience Requirements Bachelor's degree or 3 to 5 years of related experience working on commercial construction projects; or equivalent combination of education and experience. Knowledge, Skills And Abilities Extensive knowledge of established construction and maintenance practices, procedures and techniques as well as applicable local, state and federal building codes. Familiarity with a wide range of equipment and tools and proficiency in skilled construction, maintenance and repair tasks. Advanced understanding of construction scheduling and cost control. Primavera scheduling software usage and experience is desirable. Strong communication skills; thorough and attentive to details; able to prioritize and multitask; proactive and deadline‑oriented. Ability to read and understand work orders, safety rules, operating and maintenance instructions, and procedure manuals. Ability to interact effectively with customers, vendors, and employees at all levels of the organization. Ability to read and comprehend complex instructions, correspondence, memos, blue prints, contract document specifications, construction drawings, and CPM schedules. Ability to effectively present information in one‑on‑one and small group situations to customers, clients and other employees of the organization. Ability to solve practical problems and deal with a variety of concrete and abstract variables in situations where only limited standardization exists. Ability to reason complex situations and make appropriate decisions and recommendations. Ability to control and supervise teams. Ability to maintain the utmost level of integrity in all relationships and situations.
