Essential Functions Statewide Advisory Committee Administration Leads the statewide administration and coordination of advisory committee activities across instructional programs and campuses. Develops and maintains the operational framework, timelines, documentation standards, and meeting processes needed to support consistent and effective advisory committee operations across the institution. Committee Facilitation & Program Support Coordinates and facilitates advisory committee meetings in collaboration with instructional leaders, Career Services, and industry partners to ensure committees are productive, well-organized, and aligned with institutional and programmatic priorities. Supports program teams in preparing for meetings, documenting outcomes, and following through on action items and committee recommendations. Compliance & Standards Oversight Ensures advisory committee processes and documentation align with Texas Higher Education Coordinating Board requirements and institutional expectations related to workforce education programs. Maintains current knowledge of applicable standards, monitors committee records and practices for compliance, and provides guidance to internal stakeholders on committee requirements and expectations. Stakeholder Engagement & Relationship Management Builds and maintains productive working relationships with employers, industry representatives, instructional leaders, and other institutional stakeholders to support strong advisory committee participation and meaningful industry engagement. Serves as a central point of contact for advisory committee communication and coordination across the college. Project Management & Operational Execution Manages multiple concurrent advisory committee projects, priorities, and deadlines related to meeting schedules, communications, reporting, documentation, and follow-up activities. Coordinates meeting logistics, committee records, volunteer support, and operational deliverables to ensure timely and effective execution across the statewide committee portfolio. Data, Reporting & Documentation Maintains advisory committee records, meeting documentation, participation data, and related reports to support institutional accountability and operational visibility. Collects, organizes, and analyzes committee activity data and feedback to identify trends, inform improvements, and support leadership reporting. Process Improvement & Committee Effectiveness Evaluates advisory committee operations to identify inefficiencies, participation challenges, or process gaps and implements improvements that strengthen committee effectiveness, stakeholder engagement, and consistency across programs and campuses. Recommends tools, practices, and workflow enhancements that improve quality and scalability of the advisory committee function. Institutional Partnership & Workforce Alignment Partners with academic and workforce leaders to ensure advisory committees remain aligned with industry needs, instructional priorities, and student employability goals. Supports the integration of committee feedback into broader conversations related to curriculum relevance, workforce trends, and program responsiveness. Education & Experience Associate's degree. Three years of experience in project management, program coordination, or administration of multiple concurrent initiatives. Three years of experience supporting process improvement, stakeholder engagement, or operational effectiveness initiatives. Two years of experience in workforce education, higher education, employer engagement, or a related field. Two years of experience coordinating external relationships, partnerships, or public-facing stakeholder engagement activities. Preferred Qualifications Bachelor's degree. Four years of experience in project management, program coordination, or administration of multiple concurrent initiatives. Four years of experience supporting process improvement, stakeholder engagement, or operational effectiveness initiatives. Three years of experience in workforce education, higher education, employer engagement, or a related field. Three years of experience coordinating external relationships, partnerships, or public-facing stakeholder engagement activities. Relevant experience may be considered in lieu of a degree, except in cases where a specific degree is required to meet accreditation standards, licensure requirements, or other legislative or regulatory obligations. This includes, but is not limited to, certain faculty positions and staff roles governed by state or federal educational mandates. Ability to produce clear, professional written and verbal communications for diverse internal and external audiences. Ability to collect, analyze, and present data and metrics to support reporting, process improvement, and operational decision-making. Ability to interpret trends, stakeholder feedback, and committee outcomes and translate findings into actionable recommendations. Ability to build and maintain relationships with external stakeholders, including industry representatives, community leaders, and business partners, and represent the college in public-facing settings. Ability to apply knowledge of higher education systems, workforce development practices, and employer engagement strategies to support institutional goals. Ability to coordinate complex meetings, committee processes, communications, and follow-up activities with a high degree of organization and professionalism. Ability to develop, implement, and improve operational processes that support committee effectiveness, stakeholder engagement, and institutional consistency. Demonstrates professionalism, responsiveness, and credibility in working with industry partners, instructional leaders, and institutional stakeholders across the college. Operational Coordination & Organization Maintains strong organizational discipline across meeting planning, communications, documentation, compliance tracking, and follow-up activities. Coordinates details effectively across a statewide committee portfolio while ensuring processes remain clear, consistent, and well managed. Communication & Facilitation Communicates clearly and professionally in written, verbal, and meeting settings. Facilitates discussions, shares expectations, and supports productive engagement among stakeholders with varied perspectives and interests. Process Improvement & Problem Solving Evaluates operational challenges, identifies root causes, and implements practical improvements that strengthen committee effectiveness, consistency, and stakeholder experience. Uses critical thinking and initiative to resolve issues and improve workflows. Analytical Thinking & Reporting Uses data, documentation, and stakeholder feedback to monitor committee activity, identify trends, and support informed recommendations. Produces accurate reports and operational insights that improve visibility and support leadership decision-making. Ownership & Accountability Takes ownership of the statewide advisory committee function by maintaining high standards of reliability, follow-through, and professionalism. Demonstrates initiative, works independently, and ensures responsibilities are carried through to completion.
