Accounting Specialist

Pay Range: $22–$24 per hour Schedule: Full-Time, Monday–Friday, 8:00 a.m.–5:00 p.m. Work Location: On-site

Position Summary

The Accounts Payable Specialist supports the Accounting Manager in maintaining accurate financial records and ensuring timely, accurate invoice processing and payments. This role is responsible for processing and reconciling invoices, managing vendor accounts, coding expenses, administering subcontractor documentation, and supporting daily accounting operations. The ideal candidate is detail-oriented, organized, dependable, and able to thrive in a fast-paced environment.

Essential Duties and Responsibilities

• Monitor daily bank balances and prepare journal entries for transfers.
• Review, code, and record expenses to the appropriate general ledger accounts.
• Resolve invoice discrepancies and reconcile monthly vendor statements.
• Process online vendor payments, check requests, and employee expense reimbursements.
• Complete credit applications for new vendors and maintain vendor records.
• Collect, process, and maintain subcontractor W-9 forms and Certificates of Insurance (COIs).
• Process subcontractor invoices, update service tickets with applicable pricing, and coordinate information with Accounts Receivable.
• Follow up on open purchase orders and missing invoices.
• Assist with company credit card expense management and documentation.
• Monitor and manage shared departmental inboxes.
• Support the Accounting Manager with additional accounting and administrative duties as assigned.
• Maintain confidentiality of financial information, consistent attendance, and a safe, organized work environment.

Qualifications

• High school diploma or GED required; associate or bachelor’s degree in Accounting, Business, or a related field preferred.
• Three or more years of accounting, bookkeeping, or financial experience, preferably with an emphasis on accounts payable.

Technical Skills

• Proficiency in Microsoft Office, particularly Excel, including spreadsheets and formulas.
• Experience with QuickBooks or similar accounting software.
• Strong understanding of accounting procedures, bookkeeping, and financial documentation.
• Ability to learn and adapt to new accounting systems and technology.
