About the ROle

We are looking for a detail-oriented and organized Shipping Coordinator to join our Waukegan aerospace coatings manufacturing team.

In this role you will coordinate domestic and international shipments prepare accurate shipping and export documentation and ensure products are shipped in compliance with customer requirements and applicable transportation regulations.

You will work closely with Warehouse Customer Service Planning freight forwarders and transportation providers to ensure shipments are processed accurately efficiently and on time.

This position is ideal for someone who enjoys logistics problem-solving and working in a fast-paced manufacturing and distribution environment where accuracy and attention to detail are essential.

Key Responsibilities

Shipping & Logistics Coordination

• Coordinate and process domestic and international shipments via ground air and ocean transportation.

• Prepare review and verify shipping documentation to ensure accuracy and compliance with customer and regulatory requirements.

• Generate and maintain shipping documents including Bills of Lading (BOL) packing lists delivery notes commercial invoices and dangerous goods documentation.

• Coordinate shipments with freight forwarders transportation carriers and internal warehouse teams.

• Schedule incoming and outgoing material movements between the manufacturing facility and off-site warehouse locations.

• Ensure shipping documentation is completed and submitted to carriers and freight forwarders within required timelines.

• Monitor shipment processing and help resolve issues that could delay customer deliveries.

• Maintain accurate shipping records and documentation in accordance with established procedures.

Export Documentation & Compliance

• Prepare required export documentation for international shipments based on destination-country requirements.

• Ensure shipping activities comply with applicable export regulations and transportation requirements.

• Support the accurate documentation and processing of hazardous-material and dangerous-goods shipments.

• Verify that required documentation is complete and accurate before shipments are released.

• Identify and escalate potential export compliance shipping or documentation concerns.

• Coordinate with appropriate internal departments and logistics partners to resolve international shipping issues.

Order Accuracy & Problem Resolution

• Review shipping orders pick tickets and delivery documentation to verify product quantities and shipment accuracy.

• Investigate and resolve discrepancies involving order quantities piece counts product information packaging and shipping labels.

• Coordinate with Customer Service order allocation and Warehouse teams to resolve order discrepancies.

• Make authorized corrections to shipping and pick documentation when discrepancies are identified.

• Identify and report quality concerns damaged materials or other issues that may impact shipment accuracy.

• Follow established escalation procedures when issues require additional review or approval.

Safety & Operational Support

• Follow all site safety procedures transportation requirements and established work instructions.

• Maintain organized and accurate shipping documentation and records.

• Support safe and efficient shipping and warehouse operations.

• Operate hand-powered trucks or forklifts when trained and authorized as needed.

• Participate in site safety meetings training housekeeping and continuous-improvement activities.

• Perform other duties as assigned.

Qualifications

Required Qualifications

• High school diploma or GED.

• Strong attention to detail and organizational skills.

• Proficiency in Microsoft Office including Excel Outlook and Word.

• Ability to accurately prepare review and maintain shipping documentation.

• Strong written and verbal communication skills.

• Ability to prioritize multiple shipments and tasks in a fast-paced environment.

• Strong problem-solving skills and ability to identify and resolve documentation or order discrepancies.

• Ability to work independently while collaborating with internal departments and external transportation partners.

• Ability to follow established procedures and recognize when issues require escalation.

Preferred Qualifications

• Previous experience in shipping coordination logistics transportation distribution or supply chain operations.

• Experience coordinating domestic and international shipments.

• Familiarity with export documentation Bills of Lading commercial invoices and freight-forwarding processes.

• Knowledge of hazardous-material or dangerous-goods shipping requirements including DOT IATA or IMDG.

• Experience working with SAP or other ERP/warehouse-management systems.

• Previous experience in manufacturing chemical coatings or other regulated industrial environments.

Physical & Work Environment

This position works in a manufacturing and distribution environment and involves both administrative shipping activities and occasional warehouse support.

The role requires the ability to:

• Work at a computer for extended periods while preparing and reviewing shipping documentation.

• Stand walk and move throughout warehouse and shipping areas as needed.

• Occasionally lift or handle materials weighing up to 55 lbs.

• Work safely around forklifts material-handling equipment and warehouse operations.

• Wear required personal protective equipment (PPE) when entering designated manufacturing or warehouse areas.

• Follow all applicable safety and environmental procedures.
