Mail Room Coordinator - Seasonal

Title: Mail Room Coordinator Location: Pleasant Prairie, WI Job Type: Contract / Seasonal (2-3 months) Compensation: $22 / hour Industry: Wholesale & Distribution About the Role Our recruiting firm is partnering with a leading distributor serving businesses across North America to identify a reliable and detail-oriented Mail Room Coordinator. This role supports daily mail and package operations within a fast-paced distribution and corporate environment. The ideal candidate will be organized, dependable, and committed to ensuring the accurate and timely processing of incoming and outgoing mail. Job Description The Mail Room Coordinator is responsible for the receipt, processing, sorting, distribution, and dispatch of mail and packages. This position plays a key role in supporting business operations by maintaining efficient mailroom processes and ensuring all correspondence reaches the appropriate destination. Key Responsibilities Receive, process, and distribute incoming mail and packages. Sort, collect, and route mail based on destination and delivery requirements. Apply date and time stamps to incoming mail. Re-address undeliverable mail with incomplete or incorrect information when possible. Prepare outgoing mail by reviewing appearance, sealing envelopes, and ensuring accuracy. Fold, assemble, and insert documents into envelopes for distribution. Weigh outgoing mail and verify correct postage requirements. Maintain records and logs for registered or tracked mail. Monitor inventory levels and order mailroom supplies as needed. Support shipping, receiving, and dock operations when required. Perform additional duties and special projects related to mailroom operations. Qualifications Required High school diploma, GED, or equivalent. Ability to maintain regular and reliable attendance. Strong attention to detail and organizational skills. Ability to accurately sort, track, and distribute mail and packages. Basic recordkeeping and inventory management skills. Ability to lift and move up to 30 pounds occasionally. Ability to stand, walk, sit, bend, stoop, kneel, crouch, and reach throughout the workday. Ability to work safely around warehouse equipment and operational machinery. Effective verbal communication skills and ability to follow instructions. Ability to work independently and manage multiple priorities in a fast-paced environment. Basic computer and data entry skills. Preferred Previous experience in a mailroom, shipping and receiving, warehouse support, administrative support, or logistics environment. Experience handling high-volume mail and package distribution. Familiarity with postage meters, mail processing equipment, or shipping systems. Experience maintaining shipment, package, or delivery records. Knowledge of general office procedures and mailroom best practices. Work Environment Work is performed in a mailroom, office, dock, and/or warehouse environment. Noise levels are typically quiet to moderate. Employees may work in close proximity to warehouse equipment and machinery. Vision requirements include close vision, color vision, and the ability to adjust focus. Exposure to varying weather conditions may occur when supporting dock, warehouse, or outdoor shipping and receiving activities.
