As the operational backbone of the business, you'll provide executive-level support to Olga, deliver concierge-level service to clients, and ensure listings and transactions move smoothly from start to finish. You'll take ownership of managing systems and processes, keeping everything efficient, organized, and up to date as the business evolves, empowering Olga to focus on building relationships, winning new business, and closing deals. And you won't do it alone; you'll collaborate with a Marketing Coordinator and a Field Assistant to help you succeed.

Salary: $90,000–$150,000 base salary depending on experience

Benefits: Paid vacation, holidays, and sick leave, employer contribution toward medical benefits, and 401(k) with employer match

Hours: Monday–Friday, 9 AM–6 PM with rare flexibility for true emergencies

Locally Remote: You must reside in San Jose/Los Gatos/Campbell, have no more than a 1-hour commute, and have daily access to a personal vehicle for work; mileage is reimbursed; a valid driver's license and insurance are required.

Compensation:

$90,000 - $150,000 yearly

Responsibilities:

What You'll Do

• Listing management coordination from contract to close, liaising with the TC

• Vendor relationships: inspectors, stagers, contractors, photographers, etc

• Concierge-level client communication with high-net-worth buyers and sellers

• Business systems and process improvement

• Executive support and calendar management

• Day-to-day coordination with a Marketing Coordinator and Field Assistant

Experience We Are Looking For

• 3-5+ years in administrative, operations, or transaction coordination, ideally in real estate, lending, or a fast-paced environment. We are also open to those from the legal industry as well as those who have supported wealth managers.

• Working knowledge of real estate transaction processes and compliance basics

• Strong written and verbal communication, comfortable with high-net-worth clientele

• Valid driver's license and clean driving record

• Proficiency with Google Workspace

Nice-to-Have

• Experience with DocuSign, CAR Forms, MLS systems, or Odoo

• Familiarity with real estate investment or renovation projects

• Knowledge of Bay Area neighborhoods
