Bikes for the World is a 501(c)(3) nonprofit organization located in Rockville, Maryland. Our mission is to make affordable, good quality used bicycles available to low-income people in developing countries. These donated bikes provide better transport for work, education, and health care. Bikes for the World also generates additional skilled employment in bike repair and maintenance overseas, and provides satisfying environmental and humanitarian service opportunities for volunteers locally in the Washington, DC Metro region. JOB DESCRIPTION The responsibilities of the Volunteer and Outreach Coordinator include scheduling and coordinating volunteers at our Rockville warehouse, soliciting and coordinating bike donation events in the Washington, DC region, and managing communications for our organization. Volunteer Coordination (30%) Schedule and coordinate volunteer groups from schools, summer camps, corporate and civic groups. This is a core focus of the role. Bikes for the World annually hosts over 2,000 individual volunteers and 30 on-site volunteer groups. Volunteer sessions occur several times per week both during the normal workday and on weekday evenings/weekends in order to accommodate groups’ availability. The Volunteer & Outreach Coordinator is the point person for both individual and group volunteer sessions. The Volunteer & Outreach Coordinator must be comfortable with hands-on work leading volunteers and groups through on-site work tasks. The candidate should be comfortable using basic hand tools and lifting/moving bicycles around in a warehouse setting. You do not need to be a bicycle mechanic but familiarity with bicycles is a plus! Manage weekly volunteer nights (Thursdays until 7pm) Schedule and coordinate volunteer bike mechanics and volunteer loading crews Maintain log of volunteer hours Collection Coordination (30%) Solicit, contact and coordinate bike donation events with local partners. Recruit, schedule, train, and support seasonal collection managers. This is a core focus of the role. Bikes for the World annually hosts 3-4 dozen community-led bike donation collections. Collections occur largely during the Spring (March-June) and Fall (September-December) with most weekends seeing multiple collections. The Volunteer & Outreach Coordinator is the point person for collection managers and is expected to be either on-site at one or more collections on a given collection day or at the warehouse to assist with receiving incoming bikes from collection events. Communication & Outreach (20%) Manage online donor database (DonorPerfect Online & Constant Contact) Create and manage website content (Squarespace) Craft and distribute monthly newsletter (Constant Contact) Manage social media channels (Instagram and Facebook) Lead creation and distribution of longform communications in the form of website blog posts and annual program impact reports for distribution to our supporters. Office Administration (20%) Answer general phone and email messages Maintain online calendars Oversee regular financial management/logging tasks in conjunction with Executive Director (bank deposits, batch reports,etc) QUALIFICATIONS The Volunteer and Outreach Coordinator must be motivated by the mission of Bikes for the World and understand the role that relationships with collection partners and volunteers play in the strength of the organization. The Coordinator should have excellent communication skills in order to engage new volunteers and manage existing relationships with a variety of volunteer groups. The successful candidate should be comfortable with hands-on work and physical work as that is a core component of the position. Aptitude for creative problem solving. Ability to work in a team and communicate effectively with other staff, donation sites, and Bikes for the World volunteers. Understanding of the organization’s overall needs ability to work collaboratively with staff and volunteers to meet those goals. Ability to multi-task and share responsibilities across a small team. REQUIREMENTS AND AVAILABILITY Required: Strong writing and storytelling skills. Experience with Google Suite (email, Google calendar, Google docs) and donor management software (Bikes for the World utilizes DonorPerfect Online). Experience working with volunteers and community groups is important since Bikes for the World is a volunteer-driven and community-backed organization with volunteerism as a core mission. Comfort with hands-on work leading volunteers and groups through on-site work tasks at collection events and in our Rockville warehouse. The candidate should be comfortable using basic hand tools and lifting/moving bicycles around in a warehouse setting. Desired: Experience with Quickbooks and familiarity with financial/cash management practices. Prior experience crafting compelling visual and narrative stories. Spanish- or French-language skills are a plus! You do not need to be a bicycle enthusiast but familiarity with bicycles is a plus! Availability: The Outreach Coordinator is a full time (40-hours/week) position. This work generally takes place during normal business hours but this position also requires work on regular weekend days and evenings to support one-time bike collection events and volunteer groups as scheduled. Most weekend work takes place from April-June and September-November and is scheduled in advance. Weekend and evening volunteer sessions are scheduled on an as-needed basis depending on current needs in our warehouse and also per the availability of volunteer groups. PHYSICAL JOB REQUIREMENTS This employee must be comfortable working in a warehouse environment that is not climate controlled. They must also be able to travel locally to off-site outreach events and one-time bike collection events. Bikes for the World reimburses employees for work travel at the current IRS mileage rate. This employee must be able to squat, lift, bend and lift more than 50 lbs (maneuvering bicycles with volunteers and at collections) and be on their feet for long periods of time during these volunteer sessions. The Volunteer and Outreach Coordinator should expect to largely work on-site in our Rockville office, however, working remotely off-site is possible 1-2 days per week. Due to the need for on-site and hands-on community and volunteer engagement we are unable to hire someone who is fully remote for this position. COMPENSATION This position is an FLSA exempt, non-managerial position in Bikes for the World. The Volunteer and Outreach Coordinator reports to the Executive Director. This is a full-time position with an annual salary range of $58,000-$65,000. Bikes for the World employees have access to an employer-sponsored 403 (b) retirement plan and an employer-sponsored healthcare plan (50% monthly premium paid by Bikes for the World). Employees receive 11 paid Federal holidays off, 15 paid vacation days and 12 days of sick leave each calendar year.
