CLASSIFICATION SUMMARY Performs clerical work performing research, preparing written recommendations, and detailing bid specifications and evaluations for the purchase of new and replacement vehicles and heavy equipment. Receives general supervision from the Director of Fleet Management, who reviews work through meetings, conferences, order logs, and overall results achieved. SERIES LEVEL: The Fleet Coordinator is a stand-alone position ESSENTIAL FUNCTIONS: (The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification, only a representative summary of the primary duties and responsibilities. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.)
Experience in governmental procurement processes and financial management preferred. Word processing and spreadsheet experience desired. College-level fleet management and mechanical engineering coursework desired. LICENSING AND CERTIFICATIONS:
KNOWLEDGE AND SKILLS: Knowledge of:
Knowledge of principles and practices of fleet management and maintenance - methods, materials, equipment, and tools associated with the operation of general automotive and mechanical repair shops Knowledge of precise specifications pertaining to both light & heavy duty vehicles/equipment Knowledge of MS Word, Excel, PowerPoint, and/or similar programs Knowledge of research and interviewing methods in assessing/identifying client needs as they relate to new/replacement vehicles and equipment Knowledge of Fleet Management Information Software, Ron Turley & Associates (RTA), or similar programs Knowledge of Municipal related acquisition/bidding procedures Ability to prepare detailed, written bidding specification for the purchase of new and replacement vehicles and heavy equipment; process new vehicles and equipment; Ability to conduct cost studies and analysis; and develop and present clear and concise reports. Ability to work in a fast-paced and quickly changing environment Ability to process new vehicles and equipment. Ability to conduct cost studies and analysis pertaining to vehicle lifecycles. Ability to analyze, interpret, and present clear/concise reports. Ability to prepare, interpret, and present statistical data/report upon request. PHYSICAL DEMANDS: Positions in this class typically require standing, walking, bending, stooping, kneeling, reaching, pushing, pulling, lifting, grasping, talking, hearing, seeing, and repetitive motions. WORK ENVIRONMENT: Medium Work: Exerting 20 to 50 pounds of force occasionally and/or 10 to 25 pounds of force frequently to lift, carry, push, pull, or otherwise move objects. Work is performed primarily outdoors at recycling and refuse facilities. Incumbents may be subjected to moving mechanical parts, weather conditions, dust, fumes, odors, and noise typical of fleet operations. SPECIAL REQUIREMENTS:

- Communicates with representatives of various City departments to discuss equipment requirements, projected usage, and determine future equipment needs.
- Meets with personnel from operating departments to ascertain the equipment needs for the department based on their usage.
- Prepares performance-based and technical-based specifications, written analysis of bids, and purchase recommendations; tracks expected delivery times and
- maintains liaison with vendors.
- Performs research, prepares written recommendations, detailed bidding specifications, and bid evaluations for the purchase of new and replacements vehicles and heavy equipment.
- Communicates with management, various City department personnel, public officials, committee members, contractors, vendors, and representatives from other agencies, in order to establish and maintain effective working relationships.
- Performs physical and operational inspections of existing vehicles and equipment as well as pre-delivery inspections of new vehicles and equipment.
- Coordinates on-site/pre-delivery inspections, new equipment demonstrations, and equipment maintenance training classes.
- Determines equipment suitability and the use of alternative types of equipment.
- Conducts fleet operation and maintenance studies to identify units requiring repair or replacement.
- Estimates labor, material, and new vehicle preparation cost.
- Analyzes the following: the utilization of fleet units to make recommendations for discontinuance , reassignment or rental; bid packets submitted for vehicles
- and heavy equipment; equipment cost and useful life; and operating data.
- Understand and interprets blueprints and schematic drawings, and comprehends and makes inferences from written material.
- Must be able to communicate effectively through well organized clear, concise, and detailed written documents.
- May be involved in the following areas: analyzing equipment; component specifications; and disposing of retired vehicles and equipment.
- Uses appropriate safety equipment and procedures when performing all aspects of assigned duties.
- Entering requisitions for vehicle procurement and related upfitting.
- Performs other duties as may be assigned.
