Compensation: $22.00–$24.00 per hour, depending on experience

Role Overview

If you're someone who thrives on keeping complex moving pieces organized, holds vendors accountable, and takes pride in making sure nothing falls through the cracks — this role was written for you. HarrisLoftus is building a brand-new, dedicated Service of Process team and is looking for an experienced Team Lead to run it from Day 1. You'll manage the full service of process workflow across VA, MD, and GA — coordinating with our network of private process vendors, tracking case progress, ensuring timely and compliant service, and mentoring a junior team member. Prior experience at a private process company or in a legal operations role is a strong plus.

Key Responsibilities

• Build and lead a two-person Service of Process team from the ground up, setting standards for quality, compliance, and turnaround time
• Manage the end-to-end service of process workflow — assign cases to private process vendors, track progress, and ensure timely completion across VA, MD, and GA
• Serve as the primary point of contact between the firm's attorneys and external process vendors; communicate status updates clearly and proactively
• Monitor vendor performance; identify underperforming vendors and escalate or replace as needed to maintain service standards
• Oversee case management platforms (including ABC Legal) and ensure all records are accurate, current, and properly documented
• Coordinate skip tracing efforts when individuals are difficult to locate — working with vendors or internal resources to find valid service addresses
• Train and mentor the junior Specialist; build a team culture grounded in accountability, thoroughness, and professionalism
• Ensure full compliance with state-specific process serving laws in VA, MD, and GA — including court filing requirements and proof-of-service standards
• Maintain accurate, detailed records for all cases and document all outcomes for attorney review
• Flag recurring service issues, vendor gaps, or compliance concerns to firm leadership before they become bigger problems
• Field questions from attorneys and firm staff regarding service status and resolve day-to-day workflow blockers
• Create a positive, professional experience in all vendor and internal interactions

Required Qualifications

• Minimum 2–4 years of experience in service of process, legal operations, or a closely related field — private process company or law firm background strongly preferred
• Familiarity with skip tracing methods and tools — public records, databases, social media — to support vendor efforts in locating hard-to-serve individuals
• Working knowledge of process serving laws and court requirements in VA, MD, and GA
• Experience managing or coordinating external vendors or service providers
• Comfortable with case management systems and legal operations software; ABC Legal experience a plus
• Strong attention to detail — you know the difference between a good serve and a bad one, and you hold vendors to that standard
• Excellent written and verbal communication skills, including comfort with direct and difficult conversations
• Detail-oriented and organized — able to track multiple active cases, spot patterns in service outcomes, and follow through consistently
• Proficiency with Microsoft Office (Word, Excel)

Preferred Qualifications

• Experience leading or mentoring a small team in a legal services, operations, or investigative setting
• Active knowledge of or certification in process serving requirements in VA, MD, or GA
• Familiarity with court eFiling procedures and proof-of-service requirements
• Experience with ABC Legal's platform for order management, vendor tracking, and status reporting
