Operations Specialist

Position Summary The Operations Specialist supports the Operations leadership team by coordinating projects, improving processes, tracking priorities, and helping execute day-to-day operational initiatives. Reporting to the Vice President of Operations or their designee, this role partners with Directors and Managers to organize work, document processes, monitor deliverables, and ensure operational priorities are completed efficiently. Rather than owning a single operational function, this position provides cross-functional support wherever business needs are greatest. Success is measured by strong execution, organization, collaboration, and the ability to help leadership turn priorities into results. Primary Responsibilities Executive & Project Support Coordinate projects and initiatives assigned by Operations leadership. Develop project plans, timelines, task lists, and milestone tracking. Schedule meetings, document action items, and ensure follow-up. Identify risks, remove obstacles, and elevate issues when needed. Prepare project updates, executive reports, and presentations. Conduct research and provide recommendations to support operational initiatives. Operational Coordination Support day-to-day execution of operational priorities. Coordinate activities across Data Center Operations, Engineering, NOC, Deployment, Logistics, Procurement, Facilities, Customer Success, Finance, and other teams. Track projects from initiation through completion. Monitor deadlines, commitments, and deliverables to ensure successful execution. Process Improvement Identify operational inefficiencies and recommend practical improvements. Develop and improve workflows, templates, checklists, and operational processes. Support continuous improvement initiatives and track their impact. Documentation & Reporting Create and maintain SOPs, MOPs, runbooks, playbooks, forms, and other operational documentation. Maintain project dashboards, KPI reports, executive summaries, and operational reports. Support planning, business reviews, and leadership reporting. Flexible Operational Support Provide execution support across the Operations organization based on business priorities, including: Customer deployments and onboarding Data center launches and infrastructure projects Procurement and operational initiatives Compliance and audit preparation Inventory and asset management Cross-functional project coordination Dashboard creation and KPI reporting Qualifications Required Bachelor’s degree or equivalent experience. 3–7 years of experience in operations, project coordination, business operations, technology, infrastructure, or a related field. Strong organizational, communication, and time management skills. Experience managing multiple priorities and coordinating cross-functional projects. Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, Teams). Experience creating reports, presentations, and operational documentation. Strong attention to detail with the ability to work independently. Preferred Experience in data center, cloud, AI infrastructure, managed services, or technology operations. Familiarity with Jira, Confluence, NetBox, Smartsheet, Monday.com, Asana, Microsoft Project, or similar tools. Experience developing KPI dashboards and supporting infrastructure or operational projects. Experience working with senior leadership.
