Job Description This position requires working with Financial Advisors to onboard new clients in addition to servicing our existing client base with account maintenance requests including beneficiary changes/withdrawals, incoming client service calls, database management, and client appointment preparation that includes updating account summaries for review meetings between our clients and their advisor(s). We are looking for someone with experience in the financial services industry who is passionate about client success and who is excited about building relationships with clients and prospects. We need a team member who is organized and detail oriented, and who will be able to service clients and their accounts with limited supervision. Key Responsibilities Maintain professional communication with clients and staff in the office by taking calls, responding to emails, and greeting clients and vendors in the office. Serve as the primary point of contact for new clients during the onboarding process. Guide clients through initial setup and transfer of their accounts as well as helping them with online access. Develop and maintain strong relationships with clients by working together to ensure satisfaction and long-term retention. Assist the financial advisors and team with all aspects of managing client accounts. Identify potential challenges and proactively address client concerns. Assist the advisor with pre-appointment preparation for new clients and generating reports for existing clients. Maintain accurate records of client interactions and onboarding progress. Support the marketing team with event planning and execution, as needed. Update pending business summary sheet for advisor’s attention when documents are outstanding. Update contact management systems such as Salesforce, CRM, etc. Make suggestions to systematize and improve office functioning and anticipate advisors’ needs and handle them proactively. Perform clerical duties such as filing, scanning, and managing paperwork. Required Skills Associate’s degree (or higher) preferred Minimum 2 years of experience working alongside a Financial Advisor Advanced Microsoft Office skills with ability to become familiar with firm-specific programs and software CRM/Salesforce experience Excellent written and verbal communication skills Ability to handle sensitive information with a high degree of integrity, accountability, and confidentiality Strong organizational skills and attention to detail Ability to multitask and work efficiently in fast paced environment Employee Benefits & Perks 401(k) plan- eligible after 90 days 3% non-elective safe harbor 401(k) contribution by employer after 90 days Profit sharing Paid holidays Generous PTO- receive 10 PTO days annually after 90 days of employment, increasing to 14 days after one year of full-time employment.
