We are looking for an organized and service-oriented Human Resources (HR) Coordinator to support daily people operations in Santa Clara, California. This Long-term Contract position is ideal for someone who thrives in a fast-paced environment, manages sensitive information with care, and enjoys keeping HR processes accurate and on schedule. The role will contribute across the employee lifecycle, helping create a smooth experience for employees, candidates, and internal stakeholders while maintaining dependable administrative support.

Responsibilities:
• Coordinate employee onboarding and separation activities, including preparing documentation, arranging orientation logistics, updating systems, and communicating status changes to relevant teams.
• Maintain employee records and HR databases with a high degree of accuracy, ensuring personnel files and related information stay current and audit-ready.
• Draft and process employment documents such as offer letters, change notices, agreements, and other routine HR communications.
• Administer employee status updates including pay adjustments, promotions, transfers, reporting changes, and terminations in partnership with internal stakeholders.
• Support payroll operations by reviewing personnel updates, validating timekeeping details, and organizing payroll-related records before processing deadlines.
• Assist with benefits support by responding to employee questions, coordinating enrollments and life event changes, and working with external providers as needed.
• Oversee pre-employment and compliance activities such as background screening, employment verification, I-9 documentation, leave tracking, required acknowledgments, and training follow-up.
• Manage shared HR communications channels, respond to routine employee requests, and escalate more complex matters to HR leadership when appropriate.
• Provide recruiting coordination through interview scheduling, candidate communication, offer support, and preparation for incoming hires.
• Contribute to HR projects, reporting, audits, and process improvement efforts while safeguarding confidential employee relations documentation.• At least 3 years of experience in human resources, people operations, or a closely related HR support role.
• Demonstrated background handling onboarding, offboarding, benefits administration, payroll support, and employee record management.
• Strong organizational and administrative skills with close attention to detail and the ability to keep multiple workstreams moving effectively.
• Experience working with HRIS platforms, payroll systems, and applicant tracking tools.
• Clear written and verbal communication skills with a responsive and thorough approach to employee support.
• Ability to manage confidential information with sound judgment, discretion, and professionalism.
• Working knowledge of HR compliance practices, including employment documentation, background checks, and I-9 requirements.
• Proficiency with Google Workspace and Microsoft Office applications.
