We are seeking a dedicated and professional Office Administrator to manage the reception area, ensuring effective communication both internally and externally. The ideal candidate will maintain a welcoming environment for all visitors while overseeing administrative tasks to support the office's smooth operation.

Responsibilities

• Administer the reception area to ensure effective telephone and mail communications.

• Greet, welcome, direct, and announce visitors appropriately.

• Answer, screen, and forward incoming phone calls while providing basic information when needed.

• Receive and sort daily mail, shipments, and courier deliveries.

• Maintain security by following procedures and controlling access.

• Perform clerical duties such as filing, photocopying, collating, and scanning.

• Coordinate overall administrative activities for the office.

• Manage Document Control Program.

• Manage program log for vendors and guests.

• Responsible for office equipment maintenance, office layout, arrangement, and housekeeping of office facilities.

• Provide administrative assistance to the Human Resource, Warehouse, and other relative departments.

Essential Skills

• Proficient in clerical and administrative skills.

• Customer service oriented.

• Strong Microsoft Office skills, including proficiency in Excel and Outlook.

• Bilingual in Spanish is a significant advantage.

• Excellent communication skills for professional interactions via phone and email.

Additional Skills & Qualifications

• Experience with Microsoft Teams is a plus.

• Must have a good attitude, be a self-starter, and a problem solver.

• Assertive yet friendly personality capable of working well in a team environment.

Work Environment

This position operates in a professional office environment, utilizing standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. The work schedule is from 8:00 AM to 4:30 PM, Monday through Friday.

Job Type & Location

This is a Contract to Hire position based out of Eugene, OR.

Pay and Benefits

The pay range for this position is $20.00 - $26.00/hr.
