DISPATCHER

Full-Time | Evening & Night Shift | Weekend Availability Required

About the Position

We are seeking a reliable, organized, and highly responsive Dispatcher to join our transportation operations team. The Dispatcher is responsible for coordinating daily transportation activities, communicating with chauffeurs and drivers, monitoring trips in real time, and making operational adjustments to ensure a seamless experience for our clients.

The ideal candidate is someone who thrives in a fast-paced environment, can effectively manage multiple priorities, and remains calm and professional when handling time-sensitive situations. Strong communication, attention to detail, problem-solving skills, and the ability to make sound decisions in real time are essential to success in this position.

Key Responsibilities

• Coordinate and assign chauffeurs and drivers to fleet vehicles based on daily transportation requirements.
• Monitor the dispatch board and actively track scheduled trips to identify and address potential issues before they impact service.
• Communicate effectively with chauffeurs, drivers, clients, and internal team members throughout the day.
• Make real-time scheduling adjustments to maximize on-time performance and minimize customer wait times.
• Add, modify, or remove scheduled stops and make necessary changes within the planning and reservation systems.
• Create, update, and maintain accurate trip manifests and daily operational records.
• Recommend and arrange appropriate transportation solutions based on client requirements.
• Provide accurate transportation quotes and enter new business and reservations into the company’s reservation system.
• Monitor vehicle and driver availability and proactively address potential service disruptions.
• Respond quickly and professionally to delays, last-minute changes, vehicle issues, and emergency situations.
• Research, troubleshoot, and resolve client concerns and service issues in a timely and accurate manner.
• Maintain accurate records and ensure all relevant operational information is communicated to the appropriate parties.
• Support overall operational efficiency while maintaining a high standard of customer service.

Qualifications & Experience

Required / Preferred Qualifications

• 2–3 years of transportation industry experience preferred.
• 2–3 years of customer service experience.
• Previous dispatch, transportation coordination, logistics, or fleet operations experience is a plus.
• Proficiency with Microsoft Office , including Outlook, Word, and Excel.
• Strong written and verbal communication skills.
• Excellent organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Ability to multitask and prioritize effectively in a fast-paced environment.
• Strong problem-solving and decision-making skills.
• Ability to remain calm, professional, and solution-oriented under pressure.
• Dependable, punctual, and committed to providing exceptional service.
• Ability to work independently while also functioning effectively as part of a team.

Schedule Requirements

This position requires flexibility and availability based on operational needs.

Candidates must be available to:

• Work evening and night shifts.
• Work schedules extending from late afternoon through midnight.
• Work weekends, including both Saturday and Sunday .
• Adjust to schedule changes and operational demands when necessary.
