Support Specialist

Are you a detail-oriented administrative professional looking for a dynamic front-desk role in a fast-paced environment? We are seeking a friendly and organized Support Specialist to serve as the face of our facility and keep daily office operations running smoothly.

In this key role, you will manage front desk lobby operations, greet guests, oversee building security badging, and handle mail distribution. Working a predictable Monday through Friday schedule (8:00 AM – 5:00 PM), you will also manage facility supplies, coordinate with clients, assist with special administrative projects, and support the overall workplace experience. If you bring strong communication capabilities, proficient computer skills, and a proactive, team-oriented mindset, this position offers an engaging environment to apply and grow your administrative talents.

Responsibilities

Position Summary:

Manage front-desk reception, physical security access, administrative support, guest relations, mail distribution, and general office supply management.

Key Responsibilities:

• Open and close the front lobby desk daily, greeting staff, clients, and guests.

• Manage physical security access by issuing employee, contractor, and visitor badges.

• Handle incoming calls, transfer requests, mail distribution, and FedEx services.

• Order office supplies and restock lobby amenities, coffee bars, and office inventory.

• Prepare daily client arrival logs and assist with guest logistics, taxi services, and welcome packets.

Requirements:

• 0–3 years of experience in facility management, customer service, or administrative support.

• High School Diploma or GED preferred.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

• strong organizational, communication, and multi-tasking skills.
