We are looking for an experienced, detail-oriented Payroll Specialist / HR Coordinator to join our team in a flexible role combining payroll processing, workers' compensation insurance reporting, and general human resources administration.

Our payroll is processed bi-weekly, so we are seeking someone who can manage payroll accurately and efficiently while assisting with additional HR and administrative responsibilities as needed.

You do not need experience in every area listed below. We are primarily looking for someone with solid payroll knowledge, strong organizational skills, and experience in some of the additional responsibilities.

Key Responsibilities

Payroll & Benefits Administration

• Process accurate and timely bi-weekly payroll.
• Manage payroll garnishments and withholding orders.
• Prepare and coordinate annual W-2 and 1099 reporting.
• Handle 401(k) reporting and related administrative tasks.
• Coordinate employee bonuses, commissions, and salary adjustments.
• Prepare payroll-related reports and maintain accurate records.

Workers' Compensation Insurance

• Prepare monthly workers' compensation insurance reports.
• Assist with annual workers' compensation insurance audits.
• Maintain accurate payroll classifications and supporting documentation.
• Coordinate with insurance providers and respond to reporting requests.

Human Resources Administration

• Prepare employment offer letters and onboarding packages.
• Coordinate new-hire paperwork and employee onboarding.
• Process employee separations, exit checklists, and final paychecks.
• Assist supervisors with employee disciplinary procedures and documentation.
• Support employee complaint investigations and related documentation.
• Maintain and update employee handbook policies.
• Follow up with supervisors regarding employee performance reviews.
• Coordinate salary increases and prepare related employee letters.
• Respond to employment verification requests.
• Handle EDD correspondence related to unemployment, disability, and child support matters.
• Maintain organized, confidential employee records.

What We Are Looking For

Preferred Qualifications

• Previous experience processing payroll, preferably independently.
• Familiarity with bi-weekly payroll procedures and payroll regulations.
• Experience with workers' compensation insurance reporting and audits.
• Knowledge of payroll deductions, garnishments, and tax reporting.
• Experience in HR administration, employee onboarding, or personnel management.
• Familiarity with California employment laws and payroll requirements.
• Strong attention to detail, accuracy, and confidentiality.
• Excellent organizational, communication, and follow-up skills.
• Ability to work independently and manage recurring deadlines.
