Graduate Assistant Position

This P/T Graduate Assistant (GA) position manages the front-line operations, client scheduling, and initial phone intakes for the psychoeducational assessment center. GA's handle public inquiries, gather preliminary clinical data from incoming families, and ensure seamless patient onboarding while receiving valuable exposure to clinical administrative workflows.

Responsibilities

• Serve as the primary point of contact for prospective and current clients via phone, email, and in person.
• Conduct initial phone screenings and gather preliminary demographic and referral information from families.
• Schedule, reschedule, and confirm assessment appointments using the center's scheduling system.
• Maintain accurate and confidential client records in accordance with HIPAA and university policies.
• Communicate with families regarding intake paperwork, required documentation, appointment logistics, and general program information.
• Monitor and respond to inquiries in a timely, professional, and compassionate manner.
• Coordinate appointment calendars for supervising psychologists and assessment clinicians.
• Assist with client check-in, document collection, and patient onboarding procedures.
• Prepare and organize assessment materials and administrative documentation as needed.
• Maintain organized electronic and paper files.
• Perform other administrative duties that support the efficient operation of the Psychoeducational Assessment Center.

Qualifications

Education/Experience

• Current graduate student in the PsyD in Clinical Psychology program or a closely related graduate psychology program required.
• Good academic standing with the university.
• Successful completion of any required university onboarding and confidentiality training prior to beginning employment.
• Previous experience in a healthcare, counseling, psychology, educational, or customer service setting preferred.
• Experience with appointment scheduling, office administration, or electronic health records is preferred.
• Experience interacting with children and families is desirable.
• Prior administrative or customer service experience is preferred.
• Experience maintaining confidential records and handling sensitive information is preferred.
• Demonstrated ability to communicate effectively with diverse populations in a professional setting.

Working Conditions

• Ability to lift and transport assessment materials and testing kits weighing up to 25 pounds on an occasional basis.

Salary

Maximum Salary: USD $18.00/Hr.

Minimum Salary: USD $17.00/Hr.
