HR Onboarding Coordinator (Richmond)

Duties

• Ensures candidate completion of new hire paperwork including background check and work authorization forms.
• Verification of I-9 documents, accurate submittal of background and work authorization documents through third-party vendors in a timely manner.
• Conduct remote or in-person verification of employment eligibility documentation for new hires in compliance with federal regulations.
• Ensure proper documentation, secure storage, and maintenance of employee I-9 forms and supporting documents.
• Complete badge pictures and uploads to appropriate database.
• Completes notarization of Virginia State Police documents and runs Virginia State Police background check.
• Ensure all forms and signatures are completed accurately and timely.
• Address any candidate inquiries related to documentation and onboarding steps.
• Serves as a representative of VCU Health Systems as patrons, visitors, and staff of the hospital may ask for directions or other questions.
• Performs other duties as assigned and participates in special projects in order to support the mission of VCUHS and the Department.
• Frequent and intense customer interactions.
• Periods of high stress and fluctuating workloads may occur.
• General office environment with potential for constant interruptions.
• Manual dexterity and repetitive arm or hand movements required.
• Sit, walk, and stand for extended periods.
• Provides assistance to team members and accepts alternate assignments, as required, graciously.

Requirements

• Proven experience in human resources management or HR department roles, with familiarity in employment law and labor regulations such as FMLA and OSHA standards.
• Strong project management skills with the ability to handle multiple onboarding projects simultaneously.
• Proficiency in Microsoft Office applications, especially Excel for data analysis and reporting purposes.
• Knowledge of HR systems (e.g., UltiPro, Taleo, Kenexa BrassRing) and experience with ATS (Applicant Tracking Systems).
• Excellent communication skills to effectively engage with new hires, hiring managers, and cross-functional teams.
• Ability to manage change effectively within a fast-evolving organizational environment through change management principles.
• Demonstrated organizational design skills and strategic planning capabilities related to talent management and succession planning.
• Experience handling confidential information with integrity while supporting employee relations initiatives.

Required Education:

High School Diploma or GED.

Preferred Certifications & Licensure:

Licensed Notary Public.

OR

Eligible to obtain License’s Notary Public within One (1) year
