Assistant Clinical Research Coordinator

University of California , San Francisco

Under the supervision of a Clinical Research Manager, the Clinical Research Coordinator (CRC) will perform entry-level support for clinical research studies. The primary focus of this position will be supporting recruitment for one or more multi-site, NIH-funded clinical trials through the development, adaptation, coordination, and maintenance of participant-facing recruitment and engagement materials, but the CRC may receive training and development to prepare and advance for journey-level work at the next level within the series.

The incumbent will work with investigators, study staff, participating sites, and other collaborators to help translate study information into clear, accurate, accessible, and participant-centered materials across print and digital formats. The CRC will also provide flexible support for other clinical research activities as study needs evolve, which may include participant outreach and scheduling, screening and enrollment support, study visit coordination, data collac6tion and entry, maintenance of study documentation, regulatory and monitoring support, and other duties as assigned.

Recruitment Materials Development and Coordination

Supports the development, revision, adaptation, and maintenance of participant-facing recruitment and engagement materials for a multisite Alzheimer's disease clinical trial. Works with study leadership, investigators, participating sites, and other collaborators to translate protocol and study information into clear, accurate, accessible, and participant-centered content. Helps draft and coordinate materials for print and digital use, such as flyers, brochures, letters, email/text language, website content, presentations, FAQs, and outreach toolkits; tracks versions and feedback; supports consistency across sites; and helps route materials through required study, sponsor, and/or IRB review processes.

Participant Recruitment and Engagement

Supports implementation of approved recruitment strategies and materials. May respond to inquiries, conduct or assist with outreach, provide approved study information to prospective participants and families, maintain recruitment tracking tools, schedule screening activities, support prescreening or enrollment workflows as trained and delegated, and assist participating sites with use of recruitment resources. Communicates professionally and sensitively with older adults, individuals with cognitive concerns, family members, and research partners.

Clinical Study Coordination and Participant Management

Provides flexible ACRC support for one or more single- or multisite studies as assigned. Working in collaboration with study staff, may schedule and track participant visits, tests, procedures, and follow-up; prepare visit materials; assist with study visit logistics; support retention activities; and help ensure protocol-specific timelines and procedures are followed.

Data, Documentation, and Regulatory Support

May collect, abstract, enter, and clean study data; maintain recruitment logs, source documents, research charts, study binders, and other study records; assist with data queries and quality checks; help prepare materials for monitoring visits or audits; and support IRB, sponsor, and other regulatory documentation under supervision.

Study Team and Administrative Support

Participates in study and recruitment meetings; documents action items; helps coordinate materials and communications across sites; monitors study or recruitment supplies; assists with reports, presentations, and tracking tools; and performs other clinical research duties as assigned

Required:

  • HS graduation and sufficient experience and demonstrated skills to successfully perform the assigned duties and responsibilities; and/or equivalent experience/training.
  • Excellent written and verbal communication skills, including the ability to draft, edit, and proofread clear participant-facing materials and to communicate complex information in understandable language.
  • Strong attention to detail, accuracy, consistency, and version control across documents and study materials.
  • Proficiency with Microsoft Word, PowerPoint, and other standard office or collaborative document tools.
  • Excellent organizational, analytical, and problem-solving skills, with the ability to incorporate feedback from multiple stakeholders.
  • Ability to work effectively in a fast-paced, team-based environment; coordinate multiple concurrent tasks and stakeholders; prioritize work; and meet deadlines.
  • Ability to establish cooperative working relationships with research participants and families, investigators, study staff, participating sites, and external collaborators.

Preferred

  • Demonstrated proficiency with medical terminology.
  • Experience developing, editing, or coordinating participant-, patient-, or public-facing communications, educational materials, recruitment materials, or similar content.
  • Experience working with research participants or patients and families; familiarity with clinical research documentation, databases, IRB processes, or multisite study coordination.
  • Ability to abstract data from medical records and transfer it to data collection forms or directly into databases.
