Position Summary

MBM Law is hiring a full-time Legal Billing & Accounting Specialist in Pittsburgh to own client billing, accounts payable, cash receipts, and IOLTA/escrow trust accounting across the firm and its affiliated entities. This role covers a broad range of accounting responsibilities including cash receipts, cash disbursements and accounts payable, bank reconciliations, and a primary focus on time entry and client billing, working closely with the billing partners and CFO. This is an excellent opportunity for someone who is organized, trustworthy with confidential financial data, and has the ability to multi-task.

Key Responsibilities

Cash Receipts/Deposits

• Process remote check deposits for all firm and affiliate bank accounts, including IOLTA and escrow
• Record daily deposit receipts and resolve check discrepancies with clients

Accounts Payable & Disbursements

• Enter AP invoices and process check runs for the firm and affiliates, including filing fees and positive pay uploads
• Process disbursements for the title agency operating and escrow accounts, including manual entries in Qualia
• Initiate ACH payments for client accounts
• Monitor older outstanding checks across all accounts and follow up on status

Billing & Accounts Receivable

• Post time entries and confirm all billable time is recorded for the month
• Generate pre-bills for billing partners and process their edits, then post, print, and send final invoices
• Send monthly client billing statements
• Prepare invoices for contingent-fee and public tax assessment clients
• Submit insurance billing electronically, track submissions against carrier limits, and resolve rejected claims
• Assist the CFO with past-due collections, write-offs, and billing adjustments; support partners with pending-client lists and new file openings

General

• Assist the CFO with administrative tasks and special projects as needed

Delinquent Tax Collections Support

• Prepare Act 20 invoices in QuickBooks and maintain the Act 20 client spreadsheet
• Reconcile delinquent tax accounts monthly against bank statements and QuickBooks — resolving discrepancies with tax office managers

Title Agency Support (Escrow Accounting)

• Reconcile the escrow account and each closing ledger in Qualia against the bank balance monthly
• Confirm zero balances before closing accounts out, and invoice out-of-pocket closing costs once final title is complete

Qualifications

• 5+ years of bookkeeping or accounting experience; law firm or professional services experience strongly preferred
• Associate’s degree in accounting or equivalent hands-on experience
• Experience with Juris is a strong plus
• Familiarity with IOLTA/escrow accounting and trust account handling is a plus
• Proficient Excel skills and comfort managing multiple accounts, deadlines, and priorities at once
• Software exposure valued: Juris, QuickBooks, Qualia, LawPay, positive pay, and electronic/e-billing platforms
• High level of accuracy, discretion, and integrity when handling confidential financial and client information
• Clear communicator who works well with partners, attorneys, and staff
