Water Customer Service Representative

Overview Perform day‑to‑day operations of the Village’s utility billing system, answering phone and in‑person inquiries, data entry, preparing daily and monthly reports, generating water bills and final notices, and maintaining records for all accounts. Hours and Schedule 25 hours per week – 5 hours per day, 12:00 p.m. to 5:00 p.m., Monday through Friday. Key Responsibilities Receive inquiries over phone and in person regarding account status, consumption, and meter equipment failures; prepare work trouble reports; maintain trouble report files. Respond to water billing complaints regarding current water bills, past‑due bills, high water usage and shut‑offs; explain related ordinances and procedures and expedite collection of delinquent accounts. Prepare water bills, calculate, run, sort, and mail water bills and shutdown notices; load and unload water meter reading guns; export readings to the billing computer system; post readings to accounts. Prepare final water bills – input account information from trouble reports, manually calculate final bills, make copies, present bill to customer for payment. Review monthly reports for errors and inconsistencies and correct them. Post account adjustments and account usage into the computer from meter reading books. Update water filing system, perform routine filing, keyboard tasks, and process incoming mail for the Water Billing Division; enter new resident information into the computer system; establish files for new construction accounts. Operate and properly maintain all tools and equipment needed to perform the essential job functions while adhering to all safety rules and practices. Other Related Duties Prepare files for storage. Perform other duties, tasks, and responsibilities as assigned. Supervisory Responsibilities None required. Education and Experience High school diploma or GED. No prior experience or training required. Six to twelve months of related experience preferred. Computer Skills Data entry and processing. Word processing. Spreadsheet software. Basic accounting software. Licenses and Certificates N/A. Communication Skills Basic skills – read, comprehend and respond to instructions; compose routine correspondence. Intermediate skills – read, comprehend and explain complex instructions; provide feedback and suggest alternative approaches. Advanced skills – read and interpret all types of documents, including safety rules and procedures. Foreign Language Skills None required. Key Abilities Type 35 words per minute (corrected) and perform mathematical computations accurately and quickly. Accurately enter and analyze data to respond to inquiries. Set priorities and meet deadlines in a fast‑paced environment with frequent interruptions. Maintain routine filing systems; learn repetitive tasks. Communicate effectively verbally and in writing; interact with customers and employees in a courteous, professional manner.
