POSITION OVERVIEW

The Executive Liaison plays a critical role in supporting operational efficiency and strategic effectiveness of the ELT and contributes to the culture by ensuring seamless coordination, communication, and execution of the ELT's priorities. The AA will serve as a key liaison internally and externally, handling sensitive information with the utmost discretion and professionalism.


Employing a complete understanding of the work that All For Kids does to achieve its mission, the AA serves as a key role in the cultivation of the agency's vision, strategies, and accomplishments, and how they are used to engage donors, staff, and the community.


ROLES AND RESPONSIBILITIES

Administrative Support

• Manage the ELT calendars, appointments, travel arrangements, and expense reporting.

• Prepare meeting agendas, briefings, and presentations for internal and external meetings.

• Maintain organized files and records related to development initiatives, funders, and departmental priorities.

• Draft, edit, and proofread correspondence and communications on behalf of the ELT.

• Conduct research and analysis on strategic issues and priorities related to the ELT.

• Draft, edit, and prepare high-quality correspondence, presentations, reports, and internal memos when requested on behalf of the ELT.

• Contribute to process improvements that enhance the operational efficiency of the Development office.

• Handle confidential information and time-sensitive materials with discretion and judgement.

Board of Trustees Support

• Serve as a primary liaison to the Board of Trustees, ensuring timely and effective communication and coordination.

• Provide comprehensive coordination and logistical support for the Board of Trustees meetings.

• Draft and distribute meeting invitations, prepare agendas and supporting materials, coordinate refreshments, record and distribute minutes, and maintain a current and accurate digital board book.

• Plan and execute logistics for the Board-related convenings, retreats, and special events, including venue coordination, travel, materials, and on-site support.

• Maintain and regularly update Board-related records, including trustee rosters, committee assignments, leadership directories, and term histories.

• Track and report on trustee terms of service, committee participation, giving history, and fundraising activity.

• Collaborate with the Governance Committee and Board of Directors to assist with event logistics for all board meetings and volunteer committee activities. Track and maintain attendance records for all Board of Trustees' involvement in committees to ensure comprehensive participation monitoring.

Departmental Coordination

• Lead the coordination and execute logistics for the ELT team meetings and retreats.

• Support cross-functional communication by managing key updates and information flow between the ELT and internal stakeholders.

Donor Relations

• Assist in preparing and following up major donor meetings and prospect engagement activities.

• Manage the development contact database entries and donor tracking in coordination with the development team.

• Draft thank-you letters, acknowledgement notes, and other donor communications as needed.

• Maintain accurate constituent records by regularly updating and verifying donor contact information, including mailing addresses and email addresses. Ensure database integrity to support effective donor communication and relationship management.

QUALIFICATIONS

• Minimum 3-5 years of administrative experience supporting executive leadership.

• Strong organizational skills, with the ability to prioritize tasks, manage competing deadlines, and high attentions to detail.

• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and AI.

• Ability to exercise discretion, handle confidential information, and demonstrate sound judgement.

• High degree of professionalism, flexibility, and initiative.

PREFERRED QUALIFICATIONS

• Experience working in a fast-paced environment.

• Familiarity with nonprofit governance and board support.

• Project management skills or certification are a plus.
