Commercial Loan Administrative Assistant

Commercial Loan Originator

Performs a variety of duties in support of assigned Commercial Lenders. Interacts with customers, Commercial Lenders, other internal department personnel, and third party providers to complete a variety of tasks associated with the origination and the servicing of loans. Assures tasks are completed accurately, timely, and professionally to ensure prompt and professional service to internal and external customers. Works with assigned lenders to manage loan portfolios.

Essential Duties:

  • Obtains information related to the loan origination process which may include: ordering credit reports, appraisals, preliminary title reports, UCC searches, environmental reports, insurance information, flood certificates various other items.
  • Assists Commercial Lenders in the preparation of disbursement worksheets, pipeline updates, prefunding packages, loan documentation check lists, commitment and/or engagement letters and other communications necessary to properly document the credit files. May contribute to the preparation of the loan approval reports.
  • Responds to internal and external customer inquiries and resolves routine commercial and retail customer problems directed to them relating to loans and other services and sees all such questions through to resolution.
  • Assists Commercial Lenders in funding requests such as advancing credit, principal pay downs, collecting and forwarding pre-closing monies, fund transferring via wire transfers or internal account to account transfers as well as various other transactions.
  • Responsible for collecting and tracking of annual financials from customers and updating the small business loan system.
  • Assists Commercial Lenders in managing past due loans, maturing loans and annual reviews.
  • Prepares and maintains pipeline reports and other reports as assigned by supervisor or department head.
  • Performs secretarial tasks which may include preparing expense reports, management reports, and creating tracking logs, etc.
  • Completes clerical tasks such as filing, photocopying, faxing, and scanning documents as required.
  • Performs other duties as assigned.
  • Responsible for customer calls to obtain outstanding materials, ensure relationship is satisfactory, request additional business and schedule appointments for lenders.

Additional Responsibilities:

  • Attend seminars and meetings as appropriate
  • Comply with all safety policies, practices, and procedures.
  • Participate in proactive team efforts to achieve departmental and company goals.
  • Provides notarial services as needed

Supervisory Responsibilities:

  • No supervisory responsibilities.

Knowledge, Skills, and Abilities:

  • Customer and Personal Service Knowledge of principles and processes for providing customer and personal services. Ability to handle difficult customer issues and act in a professional, courteous, knowledgeable, and respectful manner with all external and internal customers. Thorough knowledge of all products and services the Bank offers.
  • English Language Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Communication Good interpersonal communication skills, both oral and written.
  • Sales and Marketing Knowledge of principles and methods for promoting, and selling products or services.
  • Clerical Knowledge of administrative and clerical procedures and systems, managing files and records and other office procedures and terminology. Excellent computer skills including spreadsheet and word processing skills.
  • Legal and Regulatory Knowledge of laws and regulations governing the banking industry, particularly in the lending area.
  • Bank Secrecy Act In the performance of all the respective tasks and duties, employee will maintain knowledge of Bank Secrecy Act regulations and all other regulatory, security and bank policies and procedures.

Education and Experience:

  • Associate Degree or equivalent education and work experience
  • At least two years of related work experience

Physical/Work Conditions: In the performance of respective tasks and duties, the employee is expected to successfully perform the essential functions of the position. Reasonable employee accommodations for physical or mental disabilities will be considered on a case-by-case basis. While performing duties the employee is required to sit, talk and hear frequently, lift up to 20 lbs. occasionally; may be required to work evenings and/or weekends, attend remote meetings and/or to travel.
