Applications received after this deadline will not be accepted. The Municipality of Chatham-Kent has an opening for a temporary full-time Licensing Assistant in the Municipal Governance division. This temporary full-time opportunity is for a period up to December 31, 2027. Job Description The Licensing Assistant is responsible for assisting the public with inquiries in relation to animal control, lottery, marriage, vehicle for hire, and business licensing. Essential Responsibilities Demonstrate Chatham-Kent’s core values and competencies Perform a wide range of administrative tasks, including day to day customer service Assist the Manager, Licensing, in providing licensing services to the community, including licence applications (business, lottery, marriage, vehicle for hire, municipal dog tags), renewal of licences, and enforcement of municipal business licensing by-laws Assist in delivery of an effective animal control program (dog tag sales, dog licensing awareness initiatives, advertising to increase awareness and dog tag sales), including all complaints are sent to Animal Control in a timely manner Run monthly reports and prepare invoicing for renewal of all municipal business licences Assist with lottery licensing applications and reports in accordance with provincial regulations and collect lottery fees Issue bingo licences/permits for pooling bingo halls in accordance with AGCO (Alcohol & Gaming Commission of Ontario) and OLG (Ontario Lottery and Gaming Corporation) regulations Liaise with external organizations and internal departments by providing information and guidance regarding licensing inquiries Issue employee access cards, inactivate cards as necessary, maintain database with employee information and photographs Essential Qualifications College diploma or certificate (preferably in an administration, legal, or a business-related program), plus two (2) to four (4) years related experience Experience working in an administrative or licensing area, preferably in a municipal environment Experience providing licensing services, including licence applications, preferred Experience with lottery reports in accordance with provincial regulations and collecting lottery fees Administrative experience including reception, incoming/outgoing mail, file management, creating presentations and correspondence, preparing reports, accepting payments Customer service experience, including liaising with service clubs and charitable organizations Skills and experience with arranging meetings, including booking facilities/rooms, and preparing agendas Working knowledge of: Licensing bylaws (Business, Animal Control, Vehicle for Hire) Lottery licensing Alcohol Gaming Commission of Ontario Lottery licence policies, regulations and terms & conditions Marriage Act of Ontario Experience conducting research using information from government agencies and other resources Experience using effective project management strategies Strong interpersonal and communication skills, written and verbal Ability to mediate, and display good judgment during disputes Attention to detail and ability to produce highly accurate work Ability to multi-task in a fast-paced time-sensitive environment Knowledge of CityView and Adobe (or other similar software programs) Strong computer skills, specifically Microsoft Office (Word, Excel, PowerPoint, Outlook) (or similar software programs) Work environment/hours of work This position works indoors. This position works weekday hours Driver’s Licence/vehicle Requirements Because this position would be required to travel, a valid Province of Ontario driver's license with a reliable motor vehicle is preferred. Background Check Requirements Successful candidates will be required to complete a background check prior to commencement of employment. A background check may include the following: education/certification verification and employment reference check. Essential Physical And/or Safety Requirements Sitting: constant sitting in chair; occasional sitting in vehicle seat (computer duties, paperwork, telephone, etc.; some positions may be required to travel to different sites) Reaching: occasional reaching above shoulder, below shoulder, forward, backward, handling (up to 6.8 kg or 15 lbs) (accessing files and binders located in multi-level filing systems; some files may be at various levels; reaching depends on workstation and where files are maintained) Hands: constant fine finger dexterity (movement), gripping, mousing; infrequent gripping (computer, mousing, scrolling, file/paperwork, telephone, copier, faxing, postage machine, etc.; stapling) Benefits This temporary full-time position has an hourly wage of $35.955 to $40.661 and will receive 15% in lieu of benefits (which includes group benefits, statutory & non-statutory holidays, and non-enrolment in OMERS) and 4% vacation pay. Where a permanent employee is receiving benefits and is the successful candidate for a temporary vacancy, benefits will remain as per the policy manual.
