Job Title: Human Resource Generalist Department: Human Resources Reports To: Director of Human Resources Status: Salaried - Exempt JOB SUMMARY: The Human Resources Generalist is responsible for supporting the daily operations of the Human Resources Department by administering a broad range of human resources functions, including recruitment, onboarding, employee relations, volunteer and contractor compliance, benefits administration, HR compliance, personnel records management, employee engagement, and training coordination. The position also oversees volunteer onboarding and independent contractor compliance to ensure all personnel meet organizational, grant, licensing, and regulatory requirements prior to providing services within the Clubs. ESSENTIAL JOB FUNCTIONS AND ACCOUNTABILITIES: Recruitment & Talent Acquisition
- Assist the with the full-cycle recruitment process, including applicant screening, interview coordination, reference checks, and offer preparation. Maintain applicant-tracking records and ensure a positive candidate experience throughout the hiring process.
- Coordinate pre-employment requirements, including background checks, drug screenings, employment verification, and new hire documentation, ensuring timely completion and compliance with organizational policies.
- Develop and maintain partnerships with colleges, universities, community organizations, and workforce agencies to support recruitment efforts.
- Coordinate volunteer recruitment efforts by reviewing and pre-screening volunteer applications and referring qualified volunteers to Club leadership for placement.
- Process volunteer onboarding requirements, including background checks, mandated reporter clearances, references, and placement at Club locations.
- Maintain volunteer records, distribute Volunteer Manuals, collect required acknowledgements, coordinate volunteer identification badges, and dress code attire, and serve as the primary liaison between volunteers and Club leadership.
- Coordinates annual background checks for the corporate board of directors and the advisory boards.
- Assist in coordinating and facilitating new employee orientation and onboarding activities.
- Prepare, collect, and maintain employment paperwork, acknowledgments, and required onboarding documentation to ensure completeness and accuracy.
- Coordinate onboarding logistics, including technology access, employee badges, business cards, and other onboarding resources.
- Coordinates trainings with program administrators to ensure new hire candidates meet organizational expectations regarding training and materials.
- Creates employee checklist for trainings within the first 30 days of employment.
- Support employee engagement initiatives that foster a positive and inclusive workplace culture.
- Assist in planning and coordinating employee recognition programs, appreciation events, organizational celebrations, and other employee engagement activities.
- Provide support to employees and supervisors by responding to routine questions regarding Human Resources policies, procedures, and employment practices, referring complex matters to the Director of Human Resources as appropriate.
- Assist with employee relations matters, including investigations, documentation, and follow-up, while maintaining confidentiality and professionalism.
- Support initiatives that foster a respectful, diverse, equitable, inclusive, and positive workplace culture.
- Assist in supporting conflict resolution efforts and promoting effective communication between employees and supervisors.
- Assist employees with benefits enrollment, qualifying life event changes, and general questions regarding medical, dental, vision, retirement, life insurance, and other benefit programs.
- Assist the Director of Human Resources in coordinating the annual Open Enrollment process, including employee communications, enrollment materials, and benefit meetings.
- Support the administration of leave programs, including FMLA, ADA accommodations, workers' compensation, military leave, and other organizational leave policies by coordinating documentation, tracking leave, and maintaining confidential records.
- Coordinate with payroll, benefit providers, and the Director of Human Resources to ensure accurate benefit deductions, enrollment changes, and benefits administration.
- Assist with conducting benefit audits and reconciliations to help ensure accuracy, compliance, and timely resolution of discrepancies.
- Maintain accurate and confidential employee personnel files, HRIS records, and employment documentation in accordance with organizational policies and record retention requirements.
- Process and maintain personnel transactions, including new hires, transfers, promotions, compensation changes, and separations, ensuring timely and accurate documentation.
- Support the Director of Human Resources in maintaining compliance with federal, state, and local employment laws, organizational policies, and HR best practices.
- Maintain required labor law postings, personnel forms, and Human Resources documentation to support organizational compliance.
- Conduct routine personnel file audits and assist with HR compliance reviews to ensure accuracy, completeness, and regulatory compliance.
- Assist the Director of Human Resources with unemployment claims, employment verifications, internal and external audits, and required reporting.
- Support organizational compliance with licensing, grant, and regulatory requirements related to Human Resources by maintaining required documentation and assisting with compliance reviews.
- Coordinate onboarding and compliance for independent contractors and enrichment providers by collecting required documentation, including information forms, W-9s, background screening authorizations, and fingerprinting consent forms.
- Process contractor background screenings through First Advantage and coordinate fingerprint registration through the Department of Human Services and (IDHS)/IdentoGo.
- Maintain accurate contractor compliance records, monitor active contractor status, and communicate clearance approvals to site supervisors prior to the start of services.
- Maintain complete and confidential personnel, volunteer, and independent contractor records in accordance with organizational policies and regulatory requirements.
- Support the Director of Human Resources in implementing initiatives that strengthen employee engagement, organizational culture, and employee retention.
- Assist in planning, coordinating, and executing staff meetings, employee engagement events, recognition programs, wellness initiatives, and other organizational activities.
- Promote and model the Boys & Girls Clubs of Lanier's mission, vision, and Core Values through daily interactions and Human Resources initiatives.
- Serve as a positive ambassador for the organization by fostering professionalism, collaboration, and exceptional customer service when interacting with employees, volunteers, and community partners.
- Occasionally spends times visiting clubs to learn what BGCL does in the after school and summer camp
- Maintain the confidentiality and security of all employee, volunteer, contractor, and organizational information in accordance with Human Resources policies, procedures, and applicable regulations.
- Participate in organizational committees, cross-functional teams, and special projects to support Human Resources initiatives and organizational goals.
- Attend and actively participate in required staff meetings, trainings, professional development opportunities, and organizational events.
- Provide administrative and operational support to the Director of Human Resources and assist with additional Human Resources projects and responsibilities as assigned.
- All other duties as assigned.
- Bachelor's degree in human resources, Business Administration, Organizational Leadership, or a related field preferred. Equivalent combination of education, training, and relevant experience may be considered.
- Minimum of three (3) years of progressively responsible Human Resources experience or related administrative experience supporting HR functions.
- Experience supporting recruitment, onboarding, employee relations, benefits administration, HR compliance, and personnel record management.
- Experience working in a nonprofit, education, youth development, or service-oriented organization preferred.
- Experience with HRIS systems, applicant tracking systems (ATS), and electronic personnel record management systems.
- Working knowledge of federal and state employment laws, Human Resources practices, and organizational policies.
- Strong interpersonal and relationship-building skills with the ability to provide professional and responsive support to employees, supervisors, and leadership.
- Ability to maintain strict confidentiality, exercise sound judgment, and handle sensitive employee information with professionalism.
- Strong organizational skills with exceptional attention to detail and accuracy in recordkeeping and documentation.
- Ability to support employee relations matters through effective communication, documentation, and problem solving.
- Ability to prioritize multiple projects, meet deadlines, and adapt in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to work independently while collaborating effectively with the Director of Human Resources, leadership, and employees across the organization.
- Proficiency in Microsoft Office Suite, SharePoint, OneDrive, ADP Workforce Now, Docusign, VidCruiter, MyClubHub, and other applicant tracking systems.
- Ability to collect, organize, analyze, and prepare HR-related data and reports.

- Ability to maintain, organize, review, and handle confidential employee, volunteer, contractor, and organizational records and documentation.
- Ability to occasionally lift and carry up to 25 pounds, including office supplies, files, equipment, and materials.
- Ability to travel between Club locations, schools, training sessions, and community events as needed to support Human Resources initiatives and organizational needs.
