Purchasing Coordinator

We are currently seeking an organized and detail-oriented Purchasing Coordinator to support our Purchasing team. This position combines purchasing and procurement responsibilities with administrative coordination, supplier documentation, purchase order tracking, and cross-functional support.

The ideal candidate will have previous experience in purchasing, procurement, buying, or administrative coordination and be comfortable managing multiple priorities in a fast-paced environment.

Key Responsibilities

• Request, collect, and track required supplier documentation, including certifications, compliance documents, contracts, and agreements
• Work closely with Purchasing, Quality, and Legal teams to ensure documentation is accurate and submitted on time
• Assist with supplier contracts, agreements, and procurement-related paperwork
• Prepare reports, tracking logs, and status updates
• Create, place, and track purchase orders
• Follow up on open orders and delivery status
• Communicate directly with suppliers regarding orders and documentation
• Assist with resolving basic purchase order and supplier discrepancies
• Obtain supplier quotes and confirm pricing and order details
• Maintain accurate purchasing and procurement records in the ERP system
• Support daily buyer and procurement activities
• Manage multiple projects and assignments simultaneously
• Monitor deadlines and proactively communicate potential delays or issues
• Maintain accurate and organized purchasing documentation

Qualifications

• Previous experience in Purchasing, Procurement, Buying, or a Coordinator role
• General knowledge of purchase orders, supplier communication, order tracking, and procurement processes
• Strong organizational skills with excellent attention to detail
• Ability to manage multiple projects, priorities, and deadlines
• Strong written and verbal communication skills
• Comfortable communicating with suppliers and internal departments
• Proficiency in Microsoft Excel, Outlook, and Word
• Experience working with an ERP system such as Oracle, SAP, NetSuite, or similar
• Knowledge of Oracle Cloud is a plus
• Experience with order-processing or manufacturing software is beneficial
• Strong problem-solving and follow-up skills

Education & Experience

• Bachelor's degree from a four-year college or university; OR
• 5–8 years of related experience and/or training; OR
• An equivalent combination of education and relevant experience

Ideal Candidate

We're looking for someone who is highly organized, detail-oriented, and comfortable balancing purchasing, supplier communication, documentation, purchase orders, ERP data, and multiple deadlines . This person should be able to work effectively across Purchasing, Quality, and Legal while maintaining accurate records and following through on open items.

Physical Requirements

• Primarily an office-based position
• Ability to sit for extended periods and occasionally stand or walk
• Ability to occasionally lift and/or move up to 10 lbs.
