Position Title Accounts Payable Specialist I Employment Type Full-Time, Days – Pay range: $21.30 to $27.69 Reports To Manager, Business Process Optimization Department Financial Services Position Overview The Accounts Payable Specialist I performs a wide range of accounting tasks, providing financial services to St.Charles Health System customers. The role requires maintaining confidentiality, delivering excellent customer service, and supporting larger Financial Services teams in a fast‑paced environment. Key Responsibilities Process invoices, checks, vouchers, and other financial documents, ensuring accurate coding and entry into the accounting system. Verify and post business transaction details, audit invoices against purchase orders, research discrepancies, and obtain approvals for payment. Maintain supplier files, verify W‑9 documentation, and manage unclaimed property reviews. Prepare vouchers, invoices, checks, account statements, reports, and other records. Assist with monthly close, ensuring accounts payable accruals and open purchase orders are properly accounted for. Address employee non‑compliance with travel expense reimbursement policies and provide training on expense reporting procedures. Investigate and reconcile vendor/supplier payment issues, collaborating with the Supply Chain team. Support system configuration, problem solving, and the development of process documentation, including reference manuals and training materials. Participate in 1099 reporting and filing processes. Engage in process improvement initiatives and additional projects as directed, demonstrating continuous improvement and Lean principles. Maintain confidentiality, uphold ethical standards, and cooperate with investigations as required. Qualifications High school diploma or GED (required). Preferred: Two‑year Accounting degree. Licensure / Certification Required: None. Preferred: Accredited Payables Specialist (APS) through the Institute of Finance and Management (IOFM) or Certified Accounts Payable Practitioner (CAPP) through the Institute of Financial Operations and Leadership (IFOL). Experience Required: None. Preferred: Two years of accounting experience. Physical and Personal Protective Equipment Must be able to wear appropriate Personal Protective Equipment (PPE) required for safe job performance. Continuously (75%) – sit, use keyboard, speak clearly, and hear normal speech. Frequently (50%) – stand, lift 1–10lb., grasp/squeeze. Occasionally (25%) – bend, reach overhead, carry/push, pull 1–10lb. Rarely (10%) – walk, stoop/kneel/crouch, climb stairs. Never (0%) – climb ladders/steps, lift/carry/push/pull 11–50lb., operate motor vehicle, hear whispered speech. Exposure to elemental factors: none. Blood‑borne pathogen exposure: no risk. Schedule and Shift Weekly hours: 40. Shift: 8am – 4pm, Monday to Friday. Position is non‑exempt and is a regular shift.
