Orchestra Librarian

League of American Orchestras

Position Title: Orchestra Librarian Status: Part-Time / Hourly Reports To: General Manager / Music Director Location: San Antonio, TX Position Summary The Orchestra Librarian is responsible for the acquisition, preparation, distribution, maintenance, and archiving of all music materials required for rehearsals, performances, auditions, recordings, and educational activities. The position serves as the primary liaison between conductors, musicians, guest artists, publishers, and orchestra administration regarding performance materials. Essential Duties and Responsibilities Music Preparation Obtain, purchase, rent, and prepare all scores and parts required for performances. Verify correct editions, instrumentation, and performance materials. Prepare orchestra folders and distribute materials to musicians. Coordinate bowings and markings with concertmasters and conductors. Incorporate cuts, transpositions, inserts, and other performance changes into parts. Library Management Maintain and catalog the orchestra’s music library. Track rentals, returns, and archival materials. Preserve performance markings and maintain historical records of repertoire. Ensure proper storage and conservation of scores and parts. Copyright and Licensing Research copyright status of works. Secure permissions for performances, recordings, broadcasts, and audition excerpts. Coordinate with publishers regarding rentals and licensing requirements. Rehearsals and Performances Prepare and place music on stage before rehearsals and concerts. Be available during rehearsals and performances to address music-related issues. Collect and archive materials following performances. Administrative Support Assist artistic planning by researching instrumentation, editions, durations, and rental costs. Maintain library budgets and vendor relationships. Coordinate with conductors, guest artists, and artistic staff. Preferred Bachelor's degree in Music, Music Education, Arts Administration, or related field. Previous experience in orchestra operations or music library work. Familiarity with copyright and music publishing practices. Qualifications Required Strong knowledge of orchestral repertoire and instrumentation. Ability to read full scores. Excellent organizational and project management skills. Experience working in a performing arts environment. Proficiency with music notation and library databases. Must be able to lift and transport music boxes. Must be available to work evenings, weekends, rehearsals, and performances. #J-18808-Ljbffr League of American Orchestras
