- WORK LIFE BALANCE: In addition to vacation and sick time, there are approximately 21 scheduled school closure days throughout the calendar year, including a full week off during the first week of the December break. We also provide supervision each week to support your professional growth while limiting the number of after-work hours needed. WHAT YOU’LL DO
The Associate Director of Admissions and Enrollment is a key member of the Admissions and Enrollment team and a visible, welcoming face of the school to prospective and current families. Reporting to and working in close partnership with the Chief Admissions and Enrollment Officer, the Associate Director of Admissions works closely with the Associate Director of Community Affairs to help lead and execute the full cycle of admissions, re-enrollment, and exmissions for students across both campuses. This is a heavily parent-facing role: the Associate Director will regularly be the first and most consistent point of contact for prospective families, and is expected to represent the school's mission, culture, and program with warmth, professionalism, and genuine enthusiasm at every touchpoint, from an individual family meeting to a public presentation. The ideal candidate combines outstanding relationship-building and communication skills with rigorous organizational discipline, sound judgment, and a deep, authentic understanding of the school's mission and community.

KEY RESPONSIBILITIES
Admissions Program Leadership and Execution
• Support the Chief Admissions and Enrollment Officer in leading and executing the school's program of admissions and exmissions of students to and from the school.
• Participate in weekly admissions committee meetings, reviewing applications alongside fellow committee members and contributing thoughtful, mission-aligned input to admissions decisions.
• Help maintain all admissions records and systems with excellent attention to detail and a high degree of organization, ensuring data integrity and confidentiality throughout.
• Use the school's online admissions platform and related systems proficiently, both to manage the office's workflow and to support a smooth, positive experience for families.
• Maintain exmissions records and provide relevant paperwork and documentation to families and school offices as needed.
• Collaborate with the Associate Director of Community Affairs to ensure all aspects of the admissions and enrollment process run smoothly
Family and Prospective Student Engagement
• Organize and personally lead admissions tours for prospective families, presenting the campus, program, and community in an engaging and informative way.
• Support the Chief Admissions and Enrollment Officer administratively with re-enrollment meetings for current families.
• Support applicant visits, including coordinating logistics and ensuring a warm, well-organized experience for visiting students and families.
• Conduct enthusiastic and effective meetings and tours for prospective families and for professionals who serve as referral sources, including educational consultants and outside evaluators.
• Support other admissions and community events throughout the year, including open houses, information sessions, and yield events.
External Representation and Communication
• Represent the school at networking meetings, community gatherings, school fairs, and conferences.
• Present the school to prospective students and parents, serving as an enthusiastic ambassador who deeply understands and can articulate the school's mission and program.
• Represent the school's mission and culture consistently across all communications, and communicate confidently and effectively in settings ranging from one-on-one meetings to public speaking engagements.
General Support and Professional Conduct
• Support the school and its leadership in furthering the goals of the admissions and enrollment program.
• Maintain a consistently calm, enthusiastic, friendly, and positive attitude in all interactions and circumstances.
• Model a work ethic and professional demeanor that is rigorous, exemplary, ambitious, flexible, empathetic, collaborative, and responsive.
• Perform other duties as assigned by the Chief Admissions and Enrollment Officer.
REQUIRED SKILLS, EDUCATION & EXPERIENCE
• Bachelor's degree required.
• Prior experience in admissions, enrollment management, or a related family- or client-facing role, ideally within an independent or nonprofit school setting; experience with gifted, twice-exceptional (2e), neurodiverse, or learning differences populations is a plus.
• Exceptional interpersonal, verbal, and written communication skills, with the ability to build rapport quickly and represent the school with warmth and credibility.
• Strong organizational skills and meticulous attention to detail, with the ability to manage multiple concurrent processes, deadlines, and confidential records.
• Demonstrated proficiency with admissions management software and general office technology (e.g., online application platforms, CRM/database systems, Microsoft Office or Google Workspace); ability to learn new systems quickly.
• Comfort and confidence with public speaking and presenting to groups of varying sizes.
• Genuine enthusiasm for the school's mission, and the flexibility to work occasional evenings and weekends for tours, events, and fairs.
• Ability to travel regularly between the school's two campuses.

Experience working with and knowledge of the NYC independent/Guild school community
WORK ENVIRONMENT:
This job operates in a school setting. The Lower School is located on the 4th floor of one building and the Upper School is located on the 1st, 5th and 6th floors of another building, administrative suite in a separate location; all buildings have elevators. This role requires regular walking to various locations around the school and occasionally traveling back and forth between campuses located approximately two blocks away.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to talk and listen. This position is active and involves continuous standing, walking, and climbing stairs. The employee must occasionally lift and/or move items under 10 pounds. Typing is required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
POSITION TYPE AND EXPECTED HOURS OF WORK:
This is a full-time exempt position in an educational facility which is open eight hours a day. Administrative staff work year-round, including summer. Workloads and demands ebb and flow with seasons and situations, and it is expected that work outside of work hours will be required to manage surges and busy times of year. Evening and weekend events will occur throughout the year. In general, though, hours are Monday-Friday 8am - 4pm.

Compensation is dependent upon experience and degree obtained.
