Description:

This is a hybrid position combining receptionist, administrative, and legal secretary responsibilities. You will be the first point of contact for clients and a key contributor to the smooth operation of the practice. The ideal candidate is organized, discreet, and comfortable wearing multiple hats in a fast-paced environment.

Requirements:

Key Responsibilities

• Greet clients and visitors and maintain a professional, welcoming reception area

• Answer, screen, and route incoming calls

• Handle incoming and outgoing mail, deliveries, and courier services

• Enter time and assist with billing process

• Open, organize, and maintain physical and electronic client files

• Draft and revise pleadings, discovery, and transactional documents under attorney supervision

• Organize exhibits, document productions, and case chronologies

• Coordinate court filings and service of documents as directed

• Track deadlines, calendar court dates, and monitor case progress

Qualifications:

Required

• 2+ years of experience in a law firm or professional office setting

• Strong written and verbal communication skills

• Proficiency with Microsoft Office (Word, Outlook, Excel)

• Familiarity with federal and state court filing procedures (Pacer and Missouri CaseNet)

• Excellent organizational skills and attention to detail

• Ability to handle confidential information with discretion

• Ability to manage competing priorities and deadlines independently

Preferred

• Experience with legal document-management and client billing software (Clio preferred)

• Notary Public commission (or willingness to obtain)
