The A/P Specialist will be responsible for the full-cycle accounts payable process, while also supporting the Controller with reporting, analysis, and special projects. This individual will play a key role in maintaining financial accuracy and ensuring smooth day-to-day operations.

Key Responsibilities

• Process a high volume of vendor invoices, ensuring accurate coding and timely entry into the accounting system
• Review and reconcile invoices against supporting documentation prior to payment
• Prepare weekly check runs, including assembling payment packages for approval and distribution
• Maintain organized digital records by scanning and filing all invoices, checks, and supporting documents
• Manage vendor records, keeping all information current and accurate within the system
• Proactively follow up on outstanding or past-due invoices and resolve discrepancies
• Monitor accounts payable aging and provide regular updates and insights to the Controller
• Ensure expenses—particularly utilities and shared costs—are properly allocated across departments on a consistent monthly basis
• Support month-end and year-end close processes, including reporting and reconciliations
• Assist with payroll-related reporting for general ledger entries
• Partner with the Controller on ad hoc projects and process improvements

Additional Responsibilities:

• Provide occasional front desk coverage, including answering phones and assisting visitors as needed
• Step in to support accounts receivable functions during absences or peak periods
• Assist with administrative requests such as estoppel processing in coordination with management
• Help maintain office equipment and ensure supplies are stocked and operational
• Contribute to overall team support and take on additional responsibilities as needed

Qualifications

• Strong accounting and computer experience required
• Proven experience in accounts payable or similar accounting role
• High attention to detail and strong organizational skills
• Ability to manage multiple priorities and meet deadlines
• Team-oriented mindset with a willingness to support various functions
