Electronic Sound is seeking an organized and dependable Installation & Service Coordinator to support our Nurse Call, Intercom and Audio/Visual installation and service teams.

The primary focus of this role is scheduling projects and project tasks, coordinating resources with our Director of Operations and Field Managers, answering incoming service calls, and keeping installation and service activities organized and moving forward.

The ideal candidate is highly organized, comfortable working on the phone and computer throughout the day, and able to manage changing schedules and priorities in a fast-paced service and installation environment.

What You'll Do

Installation & Project Scheduling

• Attend internal project kick-off meetings.
• Work closely with the Director of Operations and Field Managers to schedule technicians for projects.
• Maintain and update project folders and project schedules as project requirements change.
• Communicate scheduling information and changes to project team, technicians, and customers.
• Help identify scheduling conflicts and work with the appropriate Field Manager to resolve them.
• Keep projects, tasks, and scheduling information current in our internal systems.

Service Coordination & Dispatch

• Answer incoming phone calls, including customer service requests.
• Gather the necessary information from the customers and create service tickets in our system.
• Coordinate service schedules based on technician availability, location, urgency, and customer needs.
• Communicate service schedule with customers.
• Follow up on open service tickets as needed to help ensure they are completed and properly documented.

 

 

What This Position Is — and Isn't

This position plays an important role in keeping our installation and service teams organized and productive. However, this is not a Project Manager position and does not have primary responsibility for managing projects, budgets, contracts, project financials, or overall project performance.

Our Field Managers are responsible for managing their projects. The Installation & Service Scheduling Coordinator supports them by making sure the right people and resources are scheduled at the right place and time.

A large portion of the day will involve scheduling, answering phone calls, entering service tickets, communicating with customers and field personnel, and coordinating changing priorities.

Qualifications

• Strong organizational and scheduling skills.
• Excellent telephone and customer service skills.
• Ability to manage multiple tasks and frequent schedule changes.
• Strong attention to detail and follow-through.
• Comfortable working with scheduling and service management software.
• Good written and verbal communication skills.
• Ability to communicate professionally with customers and project team.
• Comfortable working independently while supporting multiple people and projects.
• Previous experience in scheduling, dispatch, service coordination, construction administration, or a similar role is preferred.

You may be a great fit if you enjoy being the person who keeps everything organized behind the scenes. You like building schedules, solving logistical problems, communicating with customers and field employees, and making sure everyone knows where they need to be and what they need to accomplish.

You don't need to be a Project Manager or have extensive project management experience. We're looking for a strong coordinator and scheduler who can support our Project Managers and field teams and help keep our installation and service operations running smoothly.
