Legal Assistant - Transactional/Real Estate

Lippes Mathias LLP is seeking a skilled and motivated Legal Assistant to join our West Palm Beach office. This role is essential to supporting the administrative and operational needs of our legal team. We're looking for someone who is detail-oriented, proactive, and thrives in a collaborative environment.


This role offers an interesting and varied real estate and business-oriented practice, including residential and commercial real estate transactions and leasing, construction matters, and the formation and ongoing maintenance of LLCs and corporations. The position involves extensive client contact, frequent document preparation, and the opportunity to learn directly from an experienced partner, providing meaningful hands-on involvement across a broad range of legal and business matters.

Key Responsibilities:

• Draft, format, and proofread legal documents with accuracy and attention to detail
• Organize and maintain both electronic and physical filing systems
• Schedule appointments, meetings, and events for attorneys
• Manage incoming and outgoing communications, including phone calls, emails, and mail
• Prepare memoranda to open new legal matters
• Record documents in public records across Florida counties
• Maintain and monitor critical dates and deadlines using calendaring tools
• Assist with billing and expense reporting
• Provide general clerical and administrative support as needed

Qualifications:

• Minimum of 5 years of experience as a legal assistant in a law firm environment
• Experience in real estate and/or corporate transactional required
• Experience in title is a plus
• Proficiency in Microsoft Word, Outlook, and Excel
• Familiarity with document management systems, iManage is a plus
• Strong written and verbal communication skills; comfortable interacting with clients
• Typing speed of 65+ WPM with high accuracy
• Experience with dictation/transcription software
• Ability to handle confidential information with discretion
• Highly organized, detail-oriented, and capable of multitasking in a fast-paced environment
• Team-oriented with a collaborative mindset

Salary range: $24-$34/hour depending on experience. This is a good faith estimate for the position based on location and minimum criteria. Actual compensation may vary based on experience and other job-related factors as permitted by law.
