Position: Offsite Adoption Manager Department: Canine Outcomes Reports to: Senior Operations Director Category: Full-time; Exempt Supervises: Full & part time Zona Rosa & other offsite adoptions staff, volunteers Compensation: $50,000 - $55,000 Schedule: 40+ hours per week with the ability to work some evenings, weekends, and holidays as needed. Position Summary The Offsite Adoptions Manager is part of the Canine Lifesaving Team and is responsible for increasing live outcomes for dogs through the development and management of offsite adoption programs. This role oversees daily operations at offsite adoption locations, including supervision of staff and volunteers, and leads the planning and execution of adoption events across the community. The manager collaborates closely with internal teams to ensure dogs are medically and behaviorally ready for placement, while also building strong community partnerships and representing the organization at external events. This role requires strong organizational skills, the ability to manage teams remotely, and a commitment to fostering a positive, proactive team culture focused on connecting people with pets. Essential Duties & Responsibilities Shared Responsibilities – Canine Lifesaving Team: Collaborate with intake, rescue/transport, veterinary, and behavior teams to identify dogs appropriate for offsite placement. Coordinate with medical and behavior teams to ensure dogs are vaccinated, assessed, and ready for movement; communicate any concerns. Monitor offsite capacity and proactively place appropriate dogs to maintain optimal kennel utilization. Participate in capacity for care rounds and track population data to support pathway planning. Communicate regularly with volunteers through updates on dogs, events, and program needs. Support and educate foster caregivers and volunteers on offsite adoption processes. Foster a positive, inclusive environment by engaging and mentoring staff and volunteers. Offsite Program Operations: Oversee daily operations of offsite adoption locations, ensuring animals are prepared, transported, and placed safely and humanely. Plan, organize, and execute offsite adoption events and partnerships across the community. Ensure all animal records (medical, behavioral, and adoption documentation) are complete and accurate in PetPoint. Maintain compliance with state and local regulations related to animal care, transport, and adoption. Perform basic medical tasks as needed (e.g., vaccines, microchips, testing, preventatives). Animal Care & Placement: Ensure high standards of animal care, including handling, enrichment, sanitation, and health monitoring. Conduct adoption matchmaking and provide guidance to adopters to support successful placements. Participate in end-of-life decision-making when appropriate. Monitor animal welfare (behavior and medical) and respond appropriately based on the animal’s current state to ensure medical needs are addressed, welfare needs are met and fear/anxiety/stress are reduced as much as possible. Leadership & Team Management: Supervise, coach, and develop staff and volunteers, ensuring strong performance, engagement, and retention. Build a positive, solutions-oriented team culture aligned with organizational values. Provide ongoing feedback, accountability, and professional development opportunities. Lead by example in delivering excellent customer and community experiences. Administrative & Organizational Responsibilities: Maintain accurate records, paperwork, deposits, and financial controls in alignment with budgets. Stay informed on organizational priorities, policies, and animal welfare best practices. Serve as a liaison across departments to support communication and coordination. Contribute to strategic planning, program development, and reporting on outcomes. Ensure compliance with all organizational policies, procedures, and safety guidelines. Additional Duties: Communicate regularly with leadership regarding program needs and performance. Support community engagement efforts, including volunteerism and donor relations. Perform other duties and special projects as assigned. Qualifications Required 2 - 4 years of experience in animal welfare, shelter operations, or a related field Experience supervising staff and/or volunteers, including coaching and performance management Strong organizational skills with the ability to manage multiple priorities and adapt in a fast-paced environment Demonstrated ability to work independently and manage remote teams or offsite operations Experience handling dogs of varying sizes, temperaments, and medical needs Working knowledge of animal behavior, safe handling practices, and basic disease prevention protocols Excellent communication and interpersonal skills, with the ability to engage effectively with staff, volunteers, and the public Proficiency with computer systems and data entry (experience with shelter software such as PetPoint or similar preferred) Valid driver’s license and ability to safely transport animals using organizational or personal vehicles Ability to work a flexible schedule, including weekends, evenings, and special events Commitment to the mission, values, and lifesaving goals of the organization Preferred 3–5+ years of experience in animal welfare, including program development or offsite adoption initiatives Previous experience managing adoption programs, events, or community partnerships Experience working in a high-volume animal shelter or veterinary setting Knowledge of local and state animal welfare regulations and Department of Agriculture requirements Experience with volunteer program management and engagement strategies Background in customer service, sales, or community outreach Experience with data tracking, reporting, and using metrics to drive decision-making Fear Free certification or similar animal handling/behavior training Experience administering basic medical care (vaccines, microchips, preventatives) Bachelor’s degree in Animal Science, Nonprofit Management, Business, or a related field (or equivalent experience) Physical Demands Frequent standing, walking, sitting, talking, hearing, stooping, bending, squatting, or kneeling. Ability to safely push, pull, and lift 50 pounds with assistance. Physical handling and restraint of domestic animals, small/medium farm animals, wildlife, and other animals that may need to be cared for by a municipal animal shelter. Ability to read computer screens, enter data into animal management systems, respond to email, and communicate via phone and internal direct messaging apps (Slack). Work Environment Daily interaction with shelter staff, volunteers, fosters, adopters, and the public. Potential exposure to parasites and infectious diseases from animals. Requires clear and concise communications, active listening, report writing, policies, and correspondences, persuasive communication, negotiation skills, empathy, sensitivity, instructional language skills, and non-verbal communication. Bilingual abilities are preferred but not required. Requires basic arithmetic and algebra as it relates to financial math, pharmacology, conversion of units, and proportional reasoning. While performing the duties of this job, you may be exposed to outside weather conditions, zoonotic disease, aggressive/feral animals, toxic or caustic chemicals, and situations with pet owners from all walks of life. Must be available to work irregular hours, weekends, and holidays as needed, as the shelter is open for business 363 days a year. Work Conditions Handle and restrain animals of various sizes, weights, and temperaments. Subject to animal bites or scratches. High noise level, both indoors and outdoors. Exposure to cleaning chemicals, anesthesia, pharmaceutical compounds, fumes, dust, animal dander, feces, blood, and other bodily fluids. Constant bending, stooping, standing, climbing stairs, and walking. Frequent lifting of animals and objects with reasonable accommodation.
