We are looking for a detail-oriented Real Estate Services Specialist - Level 1 to provide on-site administrative and property support in Philadelphia, Pennsylvania. This Long-term Contract position focuses on helping day-to-day facility and real estate operations run smoothly through strong coordination, document review, and responsive communication. The ideal candidate brings a detail-oriented approach, solid organizational skills, and the ability to manage multiple support tasks in a fast-paced environment.

Responsibilities:
• Monitor insurance documentation to confirm coverage records are active, accurate, and compliant with property requirements.
• Enter, submit, and track invoices through designated systems to support timely payment processing and recordkeeping.
• Coordinate with engineers, vendors, and internal partners to check the status of service requests and help drive work orders toward completion.
• Serve as an on-site administrative resource by handling general office support duties and responding to routine operational needs.
• Maintain organized property-related files, reports, and supporting documentation for easy access and audit readiness.
• Communicate with tenants, stakeholders, and service providers in a clear and courteous manner to support daily property operations.
• Assist with additional assignments as business needs change, including basic operational and financial support tasks.• At least 1-2 years of experience in administrative support, property operations, facilities coordination, or a related environment.
• Strong verbal and written communication skills with the ability to interact effectively with multiple stakeholders.
• Comfortable reviewing documents for accuracy, including insurance certificates and invoice-related records.
• Ability to manage several tasks at once while maintaining attention to detail and meeting deadlines.
• Proficiency with standard office systems and web-based portals used for tracking invoices, files, and service activity.
• High school diploma required; additional college coursework is preferred.
• Availability to work on-site during standard business hours, Monday through Friday.
