Join a dynamic healthcare team in the Pacific Northwest as an Administrative Program Specialist focused on patient access coordination. This full-time role involves managing the administrative aspects of patient care within a clinical service line, ensuring a seamless and supportive experience for patients from scheduling through follow-up.
Job Summary
As a key liaison, you will schedule appointments, coordinate referrals, verify insurance authorizations, and communicate effectively with patients and healthcare staff. Your role supports efficient resource utilization and high-quality care delivery in a vibrant healthcare setting with critical access and trauma services.
Key Responsibilities
- Schedule and manage patient appointments, consultations, and follow-ups within assigned service lines.
- Collaborate with patient access teams, providers, and clinical staff to optimize scheduling and resource use.
- Communicate appointment details and preparation instructions clearly to patients.
- Serve as an expert on patient access workflows, addressing inquiries and providing information.
- Maintain accurate and confidential patient records and documentation.
- Coordinate referrals and obtain necessary insurance verifications, authorizations, and pre-certifications.
- Monitor referral and authorization expirations and proactively manage extensions.
- Support departmental initiatives, including waitlist management and special projects.
- Follow up with patients regarding test results, orders, and questions.
- Adhere to established policies, procedures, and regulatory standards while delivering excellent service.
Education and Experience
- High school diploma or equivalent required; Associate Degree preferred.
- Minimum of 2 years' experience in healthcare, preferably in patient access or related administrative functions.
- Familiarity with medical terminology and insurance processes including verification and claims submission.
- Proficiency with electronic medical records (EMR) systems and office software applications.
Skills and Abilities
- Strong organizational skills with the ability to prioritize and adapt to changing demands.
- Excellent written and verbal communication skills tailored to diverse audiences.
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and other relevant technologies.
- Ability to handle confidential information with discretion and maintain accurate documentation.
- Demonstrated teamwork, customer service, and interpersonal skills in fast-paced environments.
- Independent problem-solving and sound judgment to complete tasks efficiently and accurately.
Work Environment and Physical Requirements
This role involves a mix of sitting, standing, walking, and occasional lifting of light to moderate weight. The position requires clear vision, hearing, and speech within normal ranges, with or without corrective devices.
