Position Description

Job Goal: Under the direct supervision of the Chief Administrator/Principal, provide a wide variety of complex and confidential administrative support, communicating information to parents, school districts, transportation companies, and others, as required, and to assist in ensuring compliance of program activities with legal, administrative and school policy requirements.


Reports to: Chief Administrator/Principal

Qualifications: Minimum 3 years of office experience in which administrative duties were performed that required discretion/confidentiality and independent judgement.


Knowledge, Skills, and Abilities:
  1. Ability to problem solve.
  2. Ability to establish and maintain cooperative working relationships with a diverse workforce.
  3. Ability to complete tasks in an organized and timely manner.
  4. Excellent written and oral communication skills.
  5. Ability to understand, apply and use computers and software applications, (e.g., Word, Excel, PowerPoint, the Internet, electronic email.
  6. Ability to process paperwork accurately according to standardized procedures.
  7. Ability to maintain confidentiality of information regarding students, staff and others.
  8. Knowledge of office management procedures.
  9. Knowledge of laws and regulations, policies and procedures, principles, guidelines and best practice related to Student Temporary Records.
  10. Ability to work cooperatively and positively with administration, staff, students, and parents/guardians.
  11. Must be able to successfully complete/pass required trainings by the Illinois State Board of Education for school personnel.
  12. Strong technology skills.
Administrative:
  1. Assist Chief Administrator with maintaining Student Temporary Records.
  2. Works with Chief Administrator to prepare official school year calendar.
  3. Coordinates student transportation with district directives.
  4. Obtains, gathers, and organizes pertinent data, i.e. reports, notices, etc., as needed.
  5. With Chief Administrator, prepares and distributes notices to staff, parents and transportation.
  6. Prepares student annual registration packets, collects returned information, and disseminates information to the appropriate staff.
  7. Prepares copies and distributes notices, memoranda or other correspondence for the purpose of informing school employees regarding activities, events or other work-related matters.
  8. Responds to inquiries from students, parents and employees, providing information, facilitating communication among parties and/or providing direction.
  9. Provides all other duties as assigned.

Expectations:

Exhibits professional conduct and maintains confidentiality with school staff, students, parents, school districts, and the community-at-large in accordance with NHC policies, procedures and work rules.

Physical Requirements:

While performing the duties of this job, the employee:
  • Is regularly required to sit for periods of longer than two hours.
  • Must also be able to use phone, type on computer and speak English. Bilingual Spanish speaker preferred.
OSHA Act: This position may be required to handle human body fluids, biological agents, cleaning chemicals and/or exposed to hazardous materials and/or noise level.
