Boutique law firm in Valhalla, NY seeking a Legal Administrative Assistant to support our attorneys and keep our office running smoothly. This is an in-office hands-on role for someone who takes pride in organized, detail-oriented work and thrives in a fast-paced environment. We are looking for someone dependable, organized, and personable who enjoys being part of a collaborative small-office environment.

Responsibilities

Answer and direct phone calls; take accurate and detailed messages

Schedule appointments and send follow-up reminders

Greet clients and visitors; provide a professional and welcoming first impression

Maintain organized electronic and paper filing systems in accordance with firm procedures

Assist with client intake and onboarding

Track attorney CLE credits

Support attorneys with document preparation, correspondence, and general administrative tasks

Order office supplies and manage vendor relationships

Assist with e-filing and other legal administrative tasks as needed

Qualifications

Prior experience in an administrative or office role preferred; law firm experience a plus we will train the right candidate

Proficiency in Microsoft 365 (Outlook, Word, Excel); comfort learning new software

Experience with legal practice management software a plus (firm uses Caret Legal)

Excellent written and verbal communication skills

Strong time management skills and the ability to reprioritize quickly

High attention to detail and sound judgment about when to ask for guidance

Comfortable with office technology: laptops, printers, scanners, and digital document management
