About the Role

Beauteers is looking for an individual who thrives in fast-paced environments and has strong attention to detail. As an Operations Coordinator, you will support the day-to-day operations that keep our growing K-beauty distribution business running efficiently. Working across sales, logistics, inventory, e-commerce, and brand teams, you will help coordinate orders, maintain accurate records, communicate with internal and external partners, and support the daily wholesale distribution operations team.

This role requires strong attention to detail, organization, and the ability to adapt quickly as priorities change. You will help ensure that orders, inventory, documentation, and internal processes are managed accurately and efficiently while identifying opportunities to improve workflows as the business continues to grow.

Responsibilities

• Manage and process daily purchase orders from major U.S. retail and wholesale accounts.
• Maintain accurate order records, product information, and inventory data using ERP, EDI, and WMS platforms.
• Coordinate order fulfillment, shipping schedules, and delivery requirements with internal teams and third-party logistics partners.
• Prepare and process invoices, shipping documentation, and Advance Shipping Notices (ASN).
• Monitor order status, track shipments, and proactively resolve fulfillment or delivery issues.
• Monitor inventory levels, incoming shipments, and product availability.
• Coordinate with warehouse and logistics partners to ensure timely and accurate order fulfillment.
• Assist with inventory reconciliation, stock allocation, and shipment tracking.
• Ensure compliance with retailer-specific routing, labeling, and shipping requirements.
• Communicate with retail buyers, vendors, and business partners regarding orders, shipments, and operational matters.
• Support the sales and account management teams with order updates, reporting, and account coordination.
• Prepare operational reports, spreadsheets, and sales-related documentation.
• Identify opportunities to improve operational efficiency and streamline workflows.

Qualifications

• Degree-level education.
• Strong organizational skills with excellent attention to detail.
• Proficiency in Microsoft Excel, Word, Outlook, and other Microsoft Office applications.
• Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
• Strong written and verbal communication skills.
• Ability to work independently while collaborating effectively with team members.
• Professional proficiency in both English and Korean .

Preferred

• Experience in wholesale distribution, retail operations, logistics, or supply chain coordination.
• Familiarity with ERP, EDI, WMS, or inventory management systems.
• Experience working with major U.S. retail accounts.
• Knowledge of purchase order processing, shipping documentation, and inventory management.
• Experience with QuickBooks or similar accounting software.
• Background in the beauty, cosmetics, or consumer goods industry.
