A Day in the Life of a Business Operations AdministratorA Day in the Life of a Business Operations Administrator is fast-paced, collaborative, and impactful. You'll partner with operations teams to streamline processes, maintain clear communication across business units, and ensure day-to-day operations run smoothly. From coordinating with the finance team to managing the lifecycle of claims and jobs-from initiation to closure-you'll play a key role in keeping the organization organized and efficient.Your day will also involve hands-on tasks like submitting vendor invoices, entering purchase orders into systems such as BOLT and CLAIMTRAK, and participating in production meetings to provide updates on jobs and budgets. If you thrive in a dynamic environment, enjoy problem-solving, and take pride in keeping operations running seamlessly, this role offers the chance to make a meaningful impact every day.Responsibilities:Collaborate with operations teams to improve internal processes and maintain consistency across business unitsManage the full lifecycle of claims and job processes, from initiation to closure, ensuring timely file handling and updatesPartner with the finance team on vendor invoices, purchase orders, and job budgets, ensuring accuracy and timely reconciliationParticipate in production meetings for project updates and job progress, and manage job setup in systemsSet up new vendors, process invoices, and handle payments, ensuring proper documentation and communication with vendorsAssist with collections and manage third-party administrators (TPAs) and portalsTravel may be requiredExperience & Education:Minimum of 1 year of experience in a fast-paced administrative role with proficiency in Excel, PowerPoint, and job management systemsExcellent organizational, problem-solving, and communication skills and the ability to handle multiple prioritiesAbility to compile, analyze, and extract data from a variety of sourcesKnowledge of the insurance restoration industry and experience with project tracking software, preferredMust be bilingual (Spanish/English)First Onsite provides equal employment opportunities to all employees and applicants for employment and prohibits discrimination and harassment of any type without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state, or local laws.
